FAQ &  Form for Submitting eReserves and Reserves

 

How do I place material on eReserves or Reserves?

Use the eReserves and Reserves Request Form for all material, or come into one of the libraries and fill out a paper form.

For library books only, it may be more convenient to use a request form available through TRELLIS.  Locate your book, then click “request  item from TRELLIS.” Select Course Reserves Request from the menu. With this form you will need to enter course information for each book, but you will not need to enter instructor information or book details.  You can use this form even if the book is signed out - staff will recall it for your course.

What kind of material can I place on Reserves and eReserves?

For eReserves, the Library will scan and mount your lecture notes, assignments and solutions, and so on. The Library will also create persistent links to digital material, and will seek copyright clearance on your behalf for paper articles, book excerpts and other material for which you do not hold the copyright. For paper Reserves the Library can place your personal copies of material on Reserves, as well as library material. If a library item is owned by University of Guelph or Wilfrid Laurier University we can almost always obtain permission to put that on Reserves.  In most cases copyright is not an issue for paper material, although in cases where copyright is required we ask that you obtain the permission.  See the page on Copyright Quick Reference for more detail.

NOTE: For both paper and eReserves, you must provide a copy of this material for us to work from, except for items that are already online.

How far in advance should I start working with the Reserves service?

For eReserves where copyright permission is not required the material will normally be available within 3* business days of the receipt of your request.  Where copyright permission is required, within 8 weeks of your request the Library can obtain permissions for over 80% of your readings. We frequently reach 100% success. In cases where permissions have not arrived for the start of class we will put your material on paper reserves while we continue to work on permission for eReserves. 

For paper Reserves, if the material is on hand then it will normally be available to students within 3* business days of the receipt of your request. If it is a library item and it is signed out it could take up to an additional 7 days to retrieve and process. 

*NOTE: In the first three weeks of term it can take up to 6 business days to process material that is on hand.

Can I link directly to an eReserves item or to my TRELLIS Course Reserves listing from my UW-ACE course?

Yes.  Locate your course at this site and follow the instructions from there.  http://www.ereserves.uwaterloo.ca/courses.cfm  We have worked out a method with the UW-ACE system so that once a student is logged into ACE they can move to any eReserve item without needing to login again.

Can my electronic material be restricted solely to the students in my class?

Yes.  We use class lists provided by Quest and students obtain access using their WatIAM userID and password.  In cases where we obtain permission to mount copyrighted material we are usually required by publishers to restrict the material to the class.

Can the WLU students in my class access electronic material owned only by UW Library?

If you use ACE for your eReserve links then access to restricted e-resources is automatically provided via ACE to WLU students registered for your class.  If your WLU students are accessing the resources from the Library's TRELLIS or web interface then these students will need to contact a UW Circulation desk to have their library account updated in order make this access work.

Please note that the story is a little different for graduate students in a joint program.  In this case access to ACE also needs to be arranged in advance.  Please contact Alex McCulloch at the email given below.

Once I’ve filled out the form, how do I send you my personal material, and what should I expect?

Once you've submitted this form, your material can be mailed or brought into the circulation desk of the appropriate library. Please include a note citing the Course and Instructor information. Library staff will assign call numbers to this category of material. If you indicate on the form that the call numbers should be emailed to you, staff will do so within 3 business days. If you've received the call number, then please cite this also when sending in more material for adding to that number.

What happens at the end of the term?

If you want to use Reserves for succeeding terms please let us know as soon as possible.  Unless otherwise specified, material will be removed from Reserves after the final exam is written for your course. The date of the final exam will be determined by the Final Exam Timetable as published by the Registrar's Office. Please be sure to let staff know if a deferred exam has been set. The course information that was created for you will be retained for one year in our files, in case you would like to re-use the same list of material.

Are usage statistics available?

At any time, you can check how often your eReserves material has been used by going to this url for Fall 2005 and forward: http://www.ereserves.uwaterloo.ca/stats.cfm

Statistics on the use of paper reserved material are available upon request.

These statistics show the number of times that each item was signed out during the term and may help you determine students' needs for more, or fewer, copies of an item for future terms. The usage number reverts to '0' at the end of each term.
