Richard reported that, according to staff in FES , a vote regarding the potential move of the school of architecture to the faculty of Engineering, must take place before the end of May.

Richard outlined the document he prepared with Linda’s assistance, for Mark present to the TRELLIS Steering Committee and TRELLIS Operational Management Group. The committee discussed and offered recommended revisions.
The committee needs to identify what services are going to be offered, what they will be like, and what needs to be done to ensure that those services are up and running for our clients on opening day.
Susan spoke about the Rare Book Room and the challenges of offering materials for use to students, faculty and the community while at the same time trying to meet all the conservation/preservation standards that are necessary.
Susan reviewed how patrons are handled when they enter the Rare Book Room. How they are signed into the department, what materials they require and the rules for use of the collection. Cataloguing is done by Ruth and Dianne in the Rare Book Room. Susan will supply Michele with the forms currently used and the reasons behind each form, as well as how gifts are received and processed. At the appropriate time, Susan, Ruth and Mary Stanley will provide training, pages from appropriate procedures manuals and orientation/meetings for Michele and future staff.
Michele is interested in what type of equipment would be needed for the Rare Book Room (i.e. gloves, display stands). Susan will provide Michele with two catalogues that the Rare Book Room currently use.
Richard reported that staffing for the School of Architecture is expected to consist of four full-time staff; Michele, two USG 4, one USG 6-8.
Michele is trying to determine the total number of books and periodicals to be moved to the School of Architecture . In the current layout there is not enough stack space for the periodicals. Michele is working with the architects and the school to determine ways to correct this problem. Designated areas for potential growth have been determined for books, however, there is no space for growth for periodicals. The School of Architecture will have to make the final decision of how they want to proceed.
