Business Arising

New Business

Potential move of school of architecture to the faculty of engineering was discussed.

Building Committee report or feedback from Architect, spacesaver etc. (Michele)

Michele met with the Architect and discussed the service desk, desensitizer unit, and shelving. There is some concern about the height of shelving and amount of growth space. Michele is waiting to hear from the architect regarding their shelving decision, and then some decisions may have to be changed about what books to remove from the Annex. The book return bin and lunch areas were also discussed. The Position of the staff person seating in the rare book reading room has been changed so the desk will face the door.

User Services staff support for library projects ( Sharon )

Gerald Underhill will be working in the Annex – Gail Henry will work with Ruth to pull architecture material from the rare book stacks and replace the call number slips in the old architecture material (prelaunch project #4 and #10) - Amy Townsend will work with Michele on the space layout, creating a web page and will have an office on the 7 th floor.

Review of library prelaunch projects (project managers)

  • Margaret has met with Debbie who has set up a fund for duplicate material and has ordered the journals. Waiting for voyager update which will allow Debbie to give architecture another location to keep duplicate material separate.
  • Betty has some Dendy gifts in her office for the school of architecture. She will catalogue those books as well as duplicate material and send them to the annex to be held with material already there (separate area designated for material moving to Cambridge) until they are sent to the school in Cambridge.

  • cataloguing are security stripping all NA material as it comes in.

  • Maureen Kama is cataloguing the theses. Theses will not be security stripped because of their awkward shape and design. These will be housed in the rare book reading room under locked doors.

  • work study student has cut and labelled all the dummies
  • Dendy collection should be complete in the next couple of weeks
  • ‘pick and scan’ worked very well to change location in item and holding records.

  • Ruth has a truck of material, which Margaret and Michele agree are architecture material and can be processed for Cambridge .
  • Michele still has to pull some books from UMD to give to Ruth for processing.

  • On March 9 Michele gave ISR a list of materials in the NA call number sections, instructions and a list of fund codes (numeric & text) and has asked them to sign off on books that are definitely their code, or material they think they may have paid for from their funds. The list is circulating and they have until April 15 to return the list to Michele. Michele has given Rick Haldenby until mid April to provide us with a name for the Library.
  • Michele has a list of titles that are not in the NA sections in call number order that architecture paid for. These two lists need to be cross-referenced
  • Michele has reviewed the annex materials. All damaged items have been returned to Porter and at least ½ have been repaired and relocated to the annex to be set aside for shipping to Cambridge .
  • Michele has a list of material to be discarded which she has sent to Rick Haldenby to review. She has given him until April 1. After that time she will proceed to discard material. There are a number of items on the list that she does not want to take to Cambridge .
  • NA regular books – have a fine arts fund, which are definitely architecture materials. Michele has prepared a list which she has sent to the fine arts faculty (Jane Buyers), of material that she would like them to relinquish to Cambridge .
  • Michele has some questions on the annex list:
    • one periodical has holdings in the rare book room
    • some periodicals in Davis that she would like transferred
    • Michele will contact Susan Routliffe for sign-off on the material purchased through the Davis General Fund.

  • Betty needs a list of materials with locations
  • Cataloguing need a location in order to type the spine labels.

  • Special collections have already pulled material and have them housed in a separate area in the rare book stacks

Library Services

Ruth and Susan have put together a package of reading material, which they distributed to the committee members.
