  1. Chair's opening remarks (Richard)

    Richard welcomed everyone and highlighted that the group's mandate is to develop a set of recommendations for the new School of Architecture’s Library and the budget required.

  2. Background (Richard)

    Richard distributed aerial photos for the group to visualize where the School of Architecture will be located on Melville Street in Cambridge.  The combination of the School of Architecture’s desperate need for more space and the City of Cambridge's desire to have the School located in its City, have made this move imminent (May - September 2003).  Murray highlighted the building's features and the library's location on the 2nd floor. 

  3. Murray's meeting with Rick Haldenby (Murray)

    Murray met with Rick Haldenby, Director of the School of Architecture, on Wednesday, February 6, 2002 and presented these points:

    • The new Library will be 11-13,000 sq. ft.
    • There are expected to be approximately 400 students = undergraduate + graduate
    • ARL Standards for the Arts Faculty suggest that the Library should have 40-50 seating spaces, two meeting rooms with seating for 6-8 students
    • A slide collection, with a slide curator responsible for it
    • It is proposed that Murray and Rick will recommend that the library space, equipment, and furnishings be owned and operated by the Library.  The move expenses would be covered by the project. 
    • Staffing is estimated to be $100-150K each/per year (Library & Architecture)
    • Rare Books - there has to be a provision for the Dendy, Clark, Schmalz and Rempel book collections, which will require special environmental conditions.
    • Daily vehicle moving mail, people etc.
    • * What material will be moved and what are the shelving requirements - immediate requirement with costs associated.

  4. Opening Day Scenario (Michele)

    About a year ago, when the School of Architecture started talking about moving to Cambridge, Michele started working on a scenario that would include tying together material, which is located at three different locations presently at UW.  Michele distributed revised copies of the “Opening Day Scenario” to all committee members and quickly summarized report’s outline.
    Action: The committee members are asked to review this document and prioritize issues for the next meeting.

  5. Review of Library Issues (Richard)

    Richard distributed a list of issues to be validated regarding the Library's position in this move.  Linda asked that computing support be added as an important issue and that the “Policy on Incorporating new TriUniversity-Affiliated Participants into the TRELLIS Library System” be followed.

  6. Next Steps
    • Visit the Architecture building on Thursday, February 14 at 9:30 am
    • Review Michele’s report
    • Two subgroups were formed:
      1. Collections (Margaret, Michele) - what needs to be moved, duplicated.  Gail Sperling needs to produce a report of all Architecture material presently housed at UW and the Annex.  Margaret and Michele will meet with Gail to determine what kind of report is required.
      2. Special collections(Susan, Michele) - Michele will visit and meet with Special Collections staff to determine what will be moved and what needs to be catalogued from the Dendy Collection in preparation for the move.
