  2. Staff Information Session
    The staff meeting held June 11 was well attended and the architecture segment received very positive feedback.

  3. Brief to the Architect
    Richard distributed a preliminary brief to the architect for the EMS Library, from Dan Parent, dated September 1984.  This document was reviewed.

    The architect will be selected by next Friday (June 21).  The architects have been given a brief outline of each area, with the approximate square footage, and their use, as well as the number of students and faculty to be relocated into this building. 

    The committee discussed how next to proceed.  It was agreed that Rick Haldenby should review the EMS brief to see if this is the type of document that the architect will be expecting from this committee. 
    Action: Richard will investigate with Plant Operations to see if the University Standards are published and whether we can get access to some other more recent, briefs to architects (i.e. Co-op).

  4. Review of projects
    Cheryl distributed a list of equipment by area as well as a total equipment needed list.  It was discussed how best to complete this spreadsheet.  The projects list was reviewed and dollar amounts were assigned where complete.

    1. Ordering duplicates - still pending.  Margaret questioned the lending policies on architecture serials - are they going to circulate?  This decision will affect the need for duplicating serials for planning.  Action: Margaret will go back to the ES faculty and Michele will followup on a report she requested.

    2. Rebinding of architecture books: Sharon - All annex material will be left for now.  Michele will request a list of architecture material housed at the annex.

    3. Slide Curator - slides are currently on a DBText database, which could be transferred to the architecture library with a site license.  Susan submitted a report for digitizing the Dendy slides, which was prepared in 1993, with a total cost of $147,123.  This will be discussed with Rick Haldenby at Friday's meeting on June 14.

    4. Cataloguing architecture theses:  Are they going to have subject access?  This will make this project more expensive.  Betty also needs a total number in order to cost access this project.

    5. Architecture plans: There are a lot of building plans on TRELLIS and Guelph has quite a few building plans with TRELLIS records.  It is still undetermined as to whether they will be catalogued as archival material.  Betty and Ruth will look at some building plans held at UMD.

    6. Video tapes - Waiting for a total number from Rick Haldenby.

    7. Cataloguing Dendy collection (1800 books) - 10 books a day = 180 days.  Ruth felt that it would take more time to train a new person than it would take for both herself and Dianne to catalogue this collection

    8. Changing locations: 66.15 hours - approximately 3 days of work. For unbarcoded items: 45.22 hours - UMD/Porter transfers - 155 titles: 115/day - 10.5 days.  What to use for book dummies - approximately 3,000 dummies are needed.  It was agreed that a co-op student could do this job at approximately $8,000/term ($12/hour).

  5. Opening Day Scenario
    Discussion regarding this document will be put on hold until the meeting on Friday.  Some committee members are meeting with Rick tomorrow, Friday, June 14 at 12:30 in the Rare Book Room.  Agenda will be the brief to the architect, talk about slides, staffing, the position of slide curator, and archives.
