Richard will draft a note to staff advising them of the funding approval from the Provincial Government and the committee’s web presence. Richard will check with Rick Haldenby to see if he has any concerns with making our web site and the minutes available to the public, now that the funding has been approved.
- SuperBuild announcement in Cambridge
Susan Bellingham and Richard Pinnell attended the announcement by the Provincial Government approving the SuperBuild application for the new UW School of Architecture in the amount of 4.1 million dollars. The federal government funding is still pending and the Cambridge Consortium still has approximately another 9 million dollars to raise.
- Collections Subgroup Report
Gail Sperling ran a report, which identified Architecture Books in all UW locations. There were 13, 226 non-periodical items including 136 oversize items, and 6,633 periodicals. There is some discrepancy in the numbers and Michele advises to use these totals as minimum figures. Action: Michele will review the lists generated and decide what further information is needed. Margaret will review the lists and consult with Environmental Studies faculty to determine what needs to be duplicated. The cost per item and the staff time required to change the locations will have to be calculated. Betty will need to determine the “who” and “when” to relocate the books and fix the records.
- Rare Books and Periodicals
Books and periodicals will be transferred, but relating archival materials, with the exception of the Dendy slide collection, will remain in the Doris Lewis Rare Book Room. Some archival material, such as photos, framed items, and Schmalz building plans will be loaned for displays at the Cambridge Library. All the Dendy slides (38,000) will be moved to the Architecture Library because there will be a slide curator on site and because the information re provenance on the slide will be retained. All rare book material held in Cambridge must be housed in an environmentally controlled space and accessed under professional supervision (as per designation as a “Category A” institution re grants/gifts).
Gail's count of books totals 804 items. The number of titles may actually be closer to 600 since her count includes multi-volume sets. Separate collections, i.e. Dendy (3,500 titles), Breithaupt Clark (61 titles), and Rempel (127 titles) need to be added to Gail's count of items to be relocated. There are approximately 24 periodical titles. There may be more depending on the review of the Dendy serials. The book and periodical collection should be housed on compact shelving. Action: The special collections staff will unpack and shelve periodicals from the Dendy gift. Michele will review and add issues to fill in gaps in the existing serials collection, relocate recreational/hobby magazines, and weed single issues following the Library’s policy/procedures re disposal of gifts. Michele will also review oversize and valuable stack titles for transfer to Cambridge RBR. Ruth will process remaining titles/issues for transfer to Cambridge along with the Dendy books still to be processed.
Other materials: The Dendy and Rempel photograph collections are integral to their archives and will not be transferred to Cambridge, as well as the Schmalz building plans and Dendy framed and unframed collection. Building plans housed in the Annex may be transferred to Cambridge. Action: Michele will review the building plans and have them catalogued. Building Plans and photographs will have to be digitized to make them accessible after researching copyright issues inherent in these collections.
- Review of Services identified in Opening Day Scenario
Richard shared a list he prepared regarding services that will be needed at the Cambridge site on day 1. Committee members added to Richard’s list and discussed services for clarification and feedback. Richard will send a complete list to committee members for their files as well as the web.
