Meeting No. #03, October 31, 1995

Present: all members

  1. Review/Summary of meeting held October 24, 1995

    1. Jills questions:

      1. Consensus

      The group expressed general support for Jills definition that Consensus is a collective opinion arrived at by a group, which has exercised open communication in a supportive climate, so that all feel they have had a fair chance to influence the decision.

      2. Decisions yet to be made

      i) Agenda Format
      - agenda will list items in priority order
      - each item will include a time allotment though we can be flexible about adhering to it during the meeting - each item will include a goal statement
      - the first item of business will be approval of agenda, though it is expected that members will respond by email prior to the meeting if they have a serious concern
      - flexibility is the key

      ii) Term of Facilitator
      Starting in January of 1996, the facilitatorÕs term will be two months.

      iii) Meeting Evaluation
      - we will continue to evaluate the previous meeting (using the questionnaire in the Workshop manual) as the first agenda item
      - this evaluation will be brief and the feedback will be added to the group goals in an informal manner, ie., raised consciousness

      iv) Consensus Decision-making and Problem-solving Format
      Our goal is to discuss items of business until we have consensus. When appropriate, we will utilize the problem-solving format.

      v) Recorders Use of Flipcharts
      In general, the recorder will be seated at the table, however during brainstorming, we anticipate using a flip chart.

    2. Summary of Methodology
      After reviewing the document prepared by Mary Stanley from flip charts of the October 24th meeting, the group endorsed its content.
  2. Evaluation of Last Meeting (October 24)
    • session was too long for meaningful input in the practice meeting, resulting in withdrawal by some members
    • the practice meeting was really a new methodology for many of us, not a true practice
    • wasted too much time trying to practice a method that we did not understand
    • perhaps we should have reworked the goal so that we had the full understanding of the group
    • recommendation to Jill and Meg that the goal of the practice meeting be hypothetical
    • despite reservations about the practice meeting, the group evaluated the overall training meeting as a positive step
    • concern expressed that minute-taking was not part of the training package, despite acknowledgement as important part of the meeting process
    • we are eager to get on with the business of CNAG, though we have appreciated this opportunity to fine tune our previous meeting skills and to develop new ones
    • endorsement of the positive atmosphere in the group.
  3. Involvement in Dear Library Board

    We are not prepared to assess the current procedures for the electronic Dear Library Board until we have reviewed and developed our mandate. At this point, we consider this resource to be potentially useful for us to monitor.

    Action: Shabiran will prepare a response and email to group before sending to C. Jewell.
  4. Next MeetingÕs date and Agenda
    Our next meeting is Tuesday, November 14th from 9:30 - 11 a.m. in the 10th floor study room. The focus of the meeting is a discussion of our purpose.
    Action: All members to review CNAG mission statement. Shabiran to book study room on the 14th.

3. Discussion of CNAGs purpose
Review CNAG mission statement so that we can discuss our long- and short-term goals.
Goal: to establish a check list against which we can evaluate potential projects.
Action:
Shabiran will prepare a response to Christine Jewell (re: item 3) and will book study room on the 14th (re: item 4). All members to review CNAG mission statement.
