Community Needs Assessment Group
Meeting: #12 (February 20, 1996)

Time: 9:30-10:30 a.m.
Place: Dana Porter Room 428

Present: Jane Britton, Amos Lakos, Sharon Lamont, Ann Naese, Shabiran Rahman, Mary Stanley,

Absent: Wendy Macpherson, Laurie Strome

  1. Amos reported on Library Council business. In his CNAG report, Amos officially requested that anyone undertaking a survey or questionnaire forward it to us, preferably using us as a resource during the development stage.

  2. Terms of Reference:
    Approved with minor changes. Methods of communicating with other library groups were discussed. Mary & Anne will present the terms of reference to Council, after which Mary & Shabiran will try to visit each of the process groups for a brief presentation.

    Action: Mary will work on her presentation to Council so that we can preview it at next week's meeting.

  3. Meeting Questions arising from February 19 wrapup session:

    i) Cumbersome evaluation: rather than review each meeting, we will review any strengths, weaknesses, and concerns during the first meeting of each month.

    ii) Tangents: we agreed that we each have a responsibility to encourage each other to remain focussed

    iii & iv) Brainstorming & flip chart: we will use these techniques as appropriate

    v) Equal participation: we reconfirmed that people should be comfortable stating their opinions as each opinion is important

    vi) Outside communication: we are concerned that the process groups not simply add to the ÒnoiseÓ but that our communication be productive.

    Action: we will finish points viii through x next week.

  4. Other Business: concern was expressed about the image we project to other library staff when we refer to CNAG as fuzzy or ambiguous. We agreed to be more circumspect in the future.

  5. The meeting adjourned at 10:40.

    - Preview of Marys presentation for Council.
    - Review points viii through x from Meeting Questions.
    - Survey review - Shabiran has concerns about our proposal to divide the survey.

    Action:

    1)Mary will work on her presentation to Council so that we can preview it at next weeks meeting.
    2) All -- come prepared to discuss the next step regarding the survey.
