Community Needs Assessment Process Group
Meeting #30 (Nov. 26, 1996)

Present: A. Lakos S. Lamont - Facilitator W. Macpherson A. Naese - Recorder L. Strome

Absent: S. Rahman

  1. The minutes of Nov. 12, 1996 meeting were approved as distributed.

  2. Business arising
    1. Information Needs Survey - Amos has put the Survey on the Staff Web:
      http://www.lib.uwaterloo.ca/News/UWLibDocs/index.html
      http://www.lib.uwaterloo.ca/staff/mis/survey.html
    2. Council meeting - Amos will inform Council to contact Sharon if there is a December Council meeting. Sharon will arrange for a CNAG representative to attend the meeting.
    3. Amos will send CNAG members the Publication report and forward any further Council minutes.
    4. Council membership - Amos will remain on Council for another year, until May 1998. CNAG membership terms should be discussed in Feb. or March 1997.

  3. Membership Applications:
Two people applied to fill the CNAG vacancies: Connie Pantic, Davis Reference and Al Smith from User Services. Connie will be asked to join the group now and Al Smith will be encouraged to apply for consideration in May 1997. It was felt that a third member from User Services might give the impression of over representation from that department. Also, there may be a resource drain from User Services if three members were away on CNAG business/meetings.

  4. Minutes on the Web:
The item was postponed until Shabiran is present.

  5. TUG Policy Integration and Focus Groups
Focus Groups on lending policies would have been helpful before TUG started its policy negotiations but, at that time, CNAG was not ready to conduct the groups. It was discussed that the groups would be helpful if held at the end of negotiations. The groups could be held for Library staff and then for Library clients. Susan Routliffe will be invited back in January to discuss this and other concerns, i.e., Will focus groups be held at the other institutions?

Members will continue to develop their knowledge about Focus Groups by reading a book on Focus Groups. Wendy and Sharon will visit the TRACE office and select appropriate videos for group members to view.

When carrying out the Focus Groups, CNAG will need to work with the Office of Human Research and Animal Care Checklist for Application to Conduct Research with Human Participants.

  6. Study Space Update
The study space chart was modified and test runs were done in Porter and Davis Libraries. The cost of running the test will be $250.00 and will include 28 hours of work. The test will run at both sites, four times a day for seven days, with casual workers (being paid $8.15 per hour) doing the study. On Wed. Nov. 27th Amos will discuss the study with Council. If there is immediate approval User Services will hire, train and run the study Thurs. Nov. 28 to Thurs. Dec. 5th.
