Community Needs Assessment Process Group
Minutes of February 21st Meeting

  1. Discussed the "Ask Us/Tell Us" page (http://www.libtest.uwaterloo.ca/comments/) on the new UW Electronic homepage. Paid particular attention to the “Choose an area of concern” section. The 5 categories available, and who will receive/answer queries for each category, are:

    Circulation questions / User Services
    Trellis questions / TUG OPAC group
    Journal Indexes and E Journal questions, etc. / Asklib
    Comments – How Are We Doing / Librarians, LibAdminPlus with Mary Stanley replying
    Other questions / Asklib

    Action: A. Fullerton will arrange to have CNAPG e-mail address added to each e- mail category so that questions/comments are sent to our group. Once we receive some CNAPG will discuss how to categorize and analyze them.

  2. Keeping Up with Your Research
    A. Fullerton developed a questionnaire to be given to persons who have already taken
    the course. The questions will provide information on:
    a. What people have done with what they learned in the session
    b. If they have tried more complicated things
    c. How they feel about the content of the session
    d. How they feel about the instruction
    e. What future developments or direction they would like to see

    The 3 Likert schedule is being used with the questions.
    The group discussed the questionnaire and provided feedback on its format and wording.

    Action: A. Fullerton will revise the questionnaire for discussion at the next meeting.

  3. Purpose of CNAPG
    Amos drafted a brief statement regarding our tasks for the Library Office.

    To co-ordinate, encourage, and facilitate library assessment activities focussing on client needs; to be a resource for Library staff in their assessment work; to analyze results, develop recommendations for action, to monitor and ensure follow-up.

  4. Microfiche problems
    Sharon Lamont has been talking with Linda Norton (Graphic Services) about digitizing the library microfiche collection because of printing problems. Graphic Services has only vague cost data at this point. A. Lakos has asked for further information from A. Lamont. Issues to be addressed include hardware problems, micro printing vs. regular printing price, access to collections that are not well analyzed.

  5. Library Hours
    The UW Federation of Students conducted a sample survey of students exiting Davis and Porter Libraries in the evening. Students were asked how late they would prefer the libraries to be open during the days leading up to and including exam time. CNAPG was
    not aware that this survey had occurred and A. Lakos will talk to S. Routliffe about including/consulting us in future.

    Recommendations from the results of the survey have gone to LBPC for discussion. The survey should be archived for future reference, perhaps in the MIS reports area of the web.

    Discussion continued about how questions from faculty/students get addressed. To remind others of our existence and function and to encourage them to inform us of what they’re doing, CNAPG will devise a template to be filled in when surveys/questionnaires are conducted.
