    3. Amos spoke to Sharon L. about digital option instead of microfiche. He learned that Mary Stanley is doing a survey about printing from microfiche.

    2. Overview to library staff after a meeting - by recorder

    4. Approval of minutes - by email

  4. Tell Us/Ask Us comments and analysis

We reviewed a summary prepared by Anne for the 26 messages received so far and agreed to use the first 3 sections of her analysis for a report:

    How many questions
    Who sent them
    - UW, non-UW, unknown
What categories do they fall into - e.g. Item requests, website comments, reference, circulation policy, databases, purchase requests, TRELLIS, technical

Ultimately we feel a less labour intensive method of storing and analysing the messages must be developed. We agreed to add categories as needed so we can capture trends in various service areas accurately. (e.g. add Connect from Home)

We discussed some service issues around answering questions from non-UW users - whether to answer; how much to answer - and the difficulty of identifying UW users if they use a commercial ISP. Anne noted that these issues will be discussed with the ASKLIB group plus Christine March 24. We feel we should alert groups to trends we identify.

    Actions:
Anne will continue to save all messages on her PC in folders til end of July. Anne will ask Glenn Anderson from IST (who is the IST expert in forms and databases) about ways to automate the storing and analysing of data. CNAG will analyse the data monthly and then summarise each term. Analysis will be sent to all Library Staff. Messages will be archived as a word file on the CNAG website.

  5. Archiving Library Surveys

We discussed how CNAG could act as a depository for information about Library surveys at UW. This way staff can find out what data and reports exist and how to get copies. We drafted a webform which groups can use to let us know what they are working on and when it is finished. It includes the following headings:

    Survey Title
    Purpose of the survey
    Who carried out the survey
    Survey dates
Copy of survey and related documents
    Methodology
Report availability (e.g. URL, word file etc)
    Data has been archived
Outcomes - library actions based on survey results
