ELECTRONIC DATA SERVICE GROUP MINUTES OF THE MEETING MARCH 21, 2001 Present: Cooper, Jack Pinnell, Richard McTaggart, Judy (Recorder) Rahman, Shabiran Moskal, Susan (Chair) 1. Minutes of Previous Meeting, February 14, 2001 Item 2, Statistics - CARL: should read " It was suggested by Susan Moskal that faculty members on campus who might have expertise in this area could be consulted" 2. Business Arising: Item 2, Statistics - CARL: The idea of looking for local expertise will not be pursued at this time. A CARL committee is currently looking at statistics collection. Item 6, Data Links: Esther Millar is making changes to the document. Shabiran will release the issue as soon as it is returned. Item 7, Electronic Reference Shelf: Susan will follow-up with a memo expressing the group's concern about some of the links under the "Facts and Figures" section. 3. Additional Agenda: Add "Data Links" as agenda item 7. 4. OMG Report (Richard) Richard explained how to access the new Webboard. He noted there are 2 sides to the board - administrative and public. EDS members were encouraged to look at the public side and send any feedback to Richard. He would also like to know what conferences should be on the public side and if EDS members would like passwords to the administrative side of the board. A pilot for patron log-on procedures is currently being developed at Guelph. This will provide a means of data collection about our TDR users. A notice stating "data is temporarily unavailable" will be put on web pages when they are temporarily taken down for maintenance, etc. The minutes of the TDR OMG Steering Committee are now on the staff web. The idea of tracking new DLI data sets (i.e. items seen in the Daily) did not receive support from other OMG members. We will continue to track these items as we have in the past. Richard will review the list of professional data librarians from non-member institutions who have been given access to TDR data. Bo Wandschneider has been promoted to the position of Manager of Academic Services within the Computing and Communications Services area. He will no longer be a member of OMG. 5. Data Sets on Cartridges (Shabiran) Shabiran reported that all DRC data sets (Wilson and Lambert) have been successfully converted. She noted the link to the Library list should now be deactivated. Some of the data sets will be kept in archive on CD-ROM and some will be put on the TDR site. Links will be made from the TDR site once it has been decided what data sets will be kept where. 6. Catalogue Records: The group reviewed sample catalogue records for data sets that Richard had distributed prior to the meeting. It was agreed that many of the records need to be edited down. The extensive information makes it difficult and confusing to figure out the documentation (i.e. code books and where they are located) It was suggested that each code book should have its own title, call number and location. There are also problems and inconsistencies with links to electronic code books on the TDR site. Richard will follow up on this. The group agreed it is not practical to ask cataloguing to do more; however, it would be useful to meet with Larry Helfand. First, it is necessary to get more specific examples. Susan will try to find out if other records exist (i.e. are any other institutions creating their own records?) and possibly post a message on the DLI list. 7. Data Links Richard reported OMG has decided the production of Data Links will be moved back to Guelph. Shabiran will continue to serve as editor. There was discussion about the solicitation of material for the upcoming issue (Fall) Richard stressed the need to start now. It was also suggested that perhaps the dates of issue should be changed to November and March. Next Meeting: April 11, 2001; Porter 224A; 1:30 p.m. - 3:00 p.m.
