ELECTRONIC DATA SERVICE GROUP MINUTES OF THE MEETING APRIL 11, 2001 Present: McTaggart, Judy (Recorder) Pinnell, Richard Moskal, Susan (Chair) Rahman, Shabiran Absent: Jack Cooper 1. Minutes of Previous Meeting, March 21, 2001: Accepted. 2. Business Arising: Item 2, Business Arising (#7, Electronic Reference Shelf): Action: Susan will discuss this issue with the individual responsible for maintaining the "Facts and Figures" section of the Electronic Reference Shelf. Item #6, Catalogue Records: A meeting with Larry Helfand to discuss cataloguing of records for data sets has not yet been arranged. Action: Susan will follow up. 3. Additional Agenda: None. 4. TDR/OMG Report (Richard): TDR logon procedures are being developed at Guelph. This provides a means of collecting information about who the users are (i.e. identify which Departments are using TDR). User group profiles can then be established and appropriate feedback provided. The "What's new" button on the TDR website will be changed to "News". Shabiran asked to have the button positioned at the bottom of the page. The administrative page that Richard had found is still there but the link is broken. Richard suggested a "staff only" link could be placed at the bottom of the TDR page. There was discussion about what should be on a public page and both Susan and Shabiran felt there should not be a staff web button on the public TDR page. It was also suggested the TUG staff web page would be an appropriate place for the webboard. Action: Richard will take these concerns back to OMG. Richard has created a conference on the webboard for discussion of the categorization of TDR data. Action: Susan will post the comments she previously composed on this issue to stimulate discussion. Richard tested the search engine on the TDR page and the results were not effective. He put a message on the webboard under "projects" noting the need for a phrase search. Comments should be directed to the board. The inconsistencies in the links to documentation (i.e. codebooks, questionnaires and user guides) have been recognized as a problem. It will be worked on as a "summer project" Richard has the list of IP addresses of professional data librarians from non-member institutions who have been given courtesy access to TDR data. He requested no further additions be made to the list. Action: Richard will review the list with Mark Haslett.. A message stating "data temporarily unavailable" will be posted to any web page when it is taken down for maintenance, etc. The duration, if known, will also be added. Richard distributed a list of all DRC staff members (including those who work for the Library). He noted there is an interest in "who's doing what" in DRC. Guelph Library closure: The University of Guelph Library will be closed April 28 - May 6 for a systems upgrade. Bo Wandschneider can be reached at ext.6410. 5. Webboard (Richard): Richard demonstrated the staff side of the webboard. This included logon procedures, how to use and navigate the board and the conferences currently set up. He stressed staff should use this board for any discussion that needs to go beyond EDS. He noted another conference for the announcement of new data sets should be added. 6.
