Notes of Meeting
January 16, 2007
Present: R. Caldwell, H. Calogeridis (chair), M. Davies (recorder), J. McTaggart, B. Menich, J. Morgan, C. Steele
1. Training Issues: S. Perkins and R. Bower
Action: H. Calogeridis will clarify with M. Laing the scope of Sara's training.
Action: J. Morgan will work with H. Calogeridis to establish training times and sample questions for R. Bower and S. Perkins.
Action: M. Davies will contact C. Woods and D. Morton to set up access for R. Bower and S. Perkins.
2. Meeting schedule for 2007
Possible meeting times are Tuesday or Thursday afternoons from 3:15 to 4:30 pm or Friday mornings at 11:00 am to noon.
Action: H. Calogeridis will confirm the date and time.
3. Staff website updates
Action: M. Davies will update the members information, the schedule, the minutes, and the best practices page. M. Davies will archive older minutes. C. Steele is taking a short leave of absence from the service, until March 1, 2007.
Action: M. Davies and J. McTaggart will meet to discuss the next item for the best practices web page.
Action: M. Davies will forward citation of email reference service article to the group.
4. New service guidelines/procedures
Action: H. Calogeridis and M. Davies will meet with C. Woods to discuss future work processes regarding Docutek, PINE, and Outlook.
5. Docutek maintenance
Action:
H. Calogeridis and J. Morgan will work on the canned messages.
Action: H. Calogeridis will delete email from Docutek.
Action:
H. Calogeridis will confirm with D. Morton if deletions from Docutek are permanently deleted from the U.S. database.
Action: Since C. Branston has volunteered to gather email reference statistics from Docutek H. Calogeridis will ask C. Branston to be on the email ref alias.
Action: H. Calogeridis will query if historical email reference statistics are available.
Action: Starting February 1, 2007 M. Davies will keep a record of activity filtering into PINE.
