Shabiran welcomed Mark and staff from Cataloguing.
Sasa will continue with Davis ISR until December 23
Sandra sent an update by e-mail on the renovations on the third floor. The renovations team is in the process of finalizing the color scheme and furnishings. Sandra thanked those who sent their list of items to be removed.
Judy distributed statistics indicating the amount of back-up time needed on a daily basis for the pilot project. She said that Anne Naese and Melanie Watkins have also been monitoring this project and haven't had any reference questions or comments at the Circulation desk.
Sasa gave his report on his observations and pointed out that in those cases where there were line-ups and patrons left they did return later.
Shabiran asked how the cataloguers felt and they all agreed that the pilot project was working smoothly.
After discussions it was agreed we would continue the pilot project until the end of term and Sasa will be continuing to observe.3.
Mark called 5 institutions regarding how they handle the telephone at the desk. Ryerson and U. of T. both said they had a designated person that only answered the phone. WLU, Guelph and York had voice mail and no designated person to
answer the phone, they both returned calls as soon as possible. Western left voice mail on only at night and answered the next day.Shabiran asked staff to send their ideas to Mark and this will be discussed further.
4. Approval of minutes of the meeting of January 28th, 2005
Around the Table: The 6th paragraph should read: Send your notes and give it to her by February 1 “instead of complete form and give it to her by February 1.”
5. Business Arising
Erin asked about Alice Clair’s position. Shabiran said it is still open. The Co-op position will not be an exchange for Alice’s position.

Signs for the printers need updating. This will be one of Marian’s projects for
the Fall.Jane Forgay will follow-up with Dan Sich on the question “Is it possible to have
the floor number of an item’s location indicated on the catalogue record?”
6. Conference Reports
Marina gave a report on the sessions she attended at the OLA Super Conference.
These included:Two practical sessions:
a) Getting in Focus (Focus group primer)
b) Designing for scent (webdesign)Sessions on technologies – Technological trends:
a) Weblogs & RSS feeds – going mainstream
b) Electronic storage – cheap
c) MetasearchSession on Multiple literacies: Literacy on information, technology, data and putting them together.

a) Brock University’s “Info Skills Plus” program
b) Ontario Legislative Library’s “Ontario Government Documents Repository”Due to time: Shabiran asked others to send their conference reports via e-mail.
7. Update Planning for the 6th Decade (Shabiran)
Shabiran said managers are still working with the document and the final document will be sent to all library staff next week.
It was decided that the first three days after we receive the document we will discuss this via e-mail and then determine if we need to meet.
8. Business Cards (Marian Davies)
Marian said that Melanie Watkins has requested Porter ISR business cards for the Circulation Department so they could distribute them.
Marian asked staff to send their thoughts to her on how to promote liaison service.
Helena said LINC will take the issue to Linda Hastings and ask about some promotion to go with the business cards.
If staff needs to order more business cards Val will order them from Cheryl Kieswetter.
9. Around the Table
Val asked staff to send suggestions to her regarding ideas/inspirations for the day to day working of the department.
Sandra said that Mark has joined the EDS Committee.
Marina sent out an e-mail clarifying the terms regarding website development.
Erin spoke to Dan Sich about adding the location limit to the Trellis record for
items that are located in Career Resources. These items will appear on the student’s account, the fines are relatively high, and they cannot be renewed online – only through contact with staff in the Career Resources Centre. Dan is looking into this and Erin will let us know of any further development.
Mark is waiting for feedback of how we should catalogue e-books in the future. Send feedback to Mark by Monday.Helena said now is a good time for selectors to request subject specific e- reference items to be added to the e-ref website. These items will be now assigned an approved subject so that they will appear as part of the e-resources search. In addition to that selectors may request that subjects be added to existing items on the E-Reference website.
Helena reminded everyone that print jobs remain only for two hours at the public printing station.
Carol has processed $3000 worth of Shastri orders. Connie Pantic, Rachel and
Sasa assisted with gathering information. Carol noted that orders for the regular
funds are coming along well.Shabiran said that the University of Waterloo Shastri Advisory Committee will be
hosting an International Conference on March 18. The final program has not
been completed.
