DAVIS ISR MEETING

  1. Approval of Minutes:

    The minutes were approved.

  2. Business Arising:

    1. NTIS: could links be put to NTIS?
    2. WATCARDS – Alex McCulloch sent out a message that a WATCARD machine will be installed in Davis, however the one for Porter will have to wait until their renovations are complete. In the mean time, Porter patrons are able to put money on at Browsers, details will follow. The question was raised whether this machine will be able to add money for guest patrons, as well, if the minimum can be lowered from $10.00 to $5.00. Jennifer Haas will look into this.

      It was suggested that a coin operated print machine be installed.

  3. Additional Agenda:

    Laura Briggs noted that the Beilstein Workshop will be rescheduled to Tuesday November 15, from 1-3 p.m.

  4. Info Desk Stats (Dan Sich)

    Dan Sich handed out graphs showing simple and complex reference questions for Mondays to Fridays and Sundays. This lead to a discussion on whether to cut our Reference Desk hours. It was decided to keep things as they are.

    It was noted that Sundays were not very busy on the Reference Desk and therefore Carol Stephenson suggested that the person working on Sundays answer e-mail reference questions on a trial basis. This will be looked into.

    Starting in January 2006 the Reference Desk will be single staffed between 4 and 5 p.m.
    Sasa Mrsa will be doing Chat Reference in Jim Parrott’s study leave absence.

    Doug Morton suggested having evening Chat Reference to accommodate the patrons that need help doing their homework. This will be looked into.

  5. Recording Consultation Statistics (Carol Stephenson)

    Davis ISR has been recording Consultations from Selectors in 3 categories since May 2005. The way we record was reviewed to make sure all selectors record the same way. In December 2005 we will review the numbers and let Porter ISR know the format we are using.

  6. SPIE – Jackie Stapleton

    Jackie Stapleton has put together an announcement for selectors to e-mail their departments to promote SPIE Digital Library. The vendor also gave promotional flyers that will be placed on the Reference Desk.

    The November 27th ed. Of “News @ Your Library” will have an article on SPIE.
    SPIE was contacted for a sales rep or trainer to come in.

    It was suggested that perhaps a specialized workshop for research groups should be held. As well a possible Davis Library Open House featuring some of our services and inviting faculty etc.

    How SPIE is listed in Trellis was discussed. Betty Graf and Alison Hitchens will work on how best to put entries into the catalogue. This requires finding out if we have to buy the catalogue information or if we are able to obtain it for free from Library of Congress.

    There are some things to consider, for example if we eliminate our print copy we do not want Trellis to indicate that print is available. Most people have indicated that they would like items that are duplicated on line to be removed from our shelves. Print volumes should not be discarded until the electronic entry has been entered into Trellis.

    Some SPIE proceedings are not available online due to copyright restrictions. If we have any of these volumes, they should not be discarded. A note should also be made visible on the spine to this effect as a reminder to the shelvers that these are NOT to be discarded.

  7. Gifts – Jennifer Haas

    If someone comes to the desk offering gifts, please put them in contact with the appropriate selector. Before checking off “Tax Receipt” on the forms that must be filled out, please ensure that it is not a duplicate of our holdings (if it is a duplicate you may want to check the condition of our copy and then decided if you wish to keep). The forms are being revised and will be available on line.

  8. Update on Meetings to Identify Staffing and Service Gaps – Jennifer Haas

    Short staffing issues were discussed at the Mangers Meeting, as well as various department meetings within the Library. One of the big issues with major gaps is the e-resources. A table was created to show the gaps. More info to follow.

    Carol Stephenson suggested that we may be able to interest a high school student who needs to complete their 40 hours of volunteer service to help in the Info Commons.

  9. Around the Table

    Laura Briggs let us know that the Chemistry Subject page is now back after not being available for about a year.

    Jackie Stapleton queried whether we need to start collection activities for the Pharmacy fund in January. It will not start at that time.
