Present: Helena Calogeridis, Marian Davies, Eva Dodsworth, Dave Gall, Tim Ireland, Sandra Keys (recorder), Judy McTaggart, Patrick Miller, Leeanne Romane (facilitator), Carol Steele, Janet Wason, Margaret Yuen, Agnes Zientarska-Kayko

  1. Approval of the previous minutes

    The minutes of March 22, 2013 were approved with a minor revision.

  2. Business Arising from the minutes

    Eva will have charge of the Geospatial Centre P-Card.

    The next meeting will be the Service Desk special meeting. Send any questions to Leeanne or Annie.

  4. Facilitators for Department Meetings

    Leeanne reminded everyone to sign up to facilitate the department meetings.
  1. Scheduling and absences; minimal staffing

    Leeanne reminded everyone of the revised document, emphasizing that a maximum of six (6) people can be away at any one time. She noted that there are already several weeks at maximum or very close. The number of people away should be particularly noted if thinking of flexing. She asked whether we wanted to keep it at six (6) or return it to the previous seven (7). Everyone agreed to leave it at six (6). If the maximum has been reached, consult with Leeanne as to whether can be off. In the past, the desk scheduler has consulted with cataloguers to see if they were available for any last-minute requests when maximum being reached.

    With the department being down three (3) people with Margaret’s retirement, it was asked whether it would be possible to hire someone (a former co-op?) to come in for the summer months to assist in desk coverage. Action: Leeanne will talk to Annie.

  2. Around the Table

    Marian:
    • Fine Arts Masters Students show has begun. She urged people to check it out.

    Patrick:
    • He finishes April 22, but will be in on April 26 for desk shift!

    Judy:
    • Davis Circulation Desk staff training is upcoming
    • A charter is being developed for the Desk Model group
    • She is still looking for someone to train us on the public photocopiers. She has found out that there will be forthcoming changes on their default settings
    • She reminded everyone to register for the lunch at the ISD Training Retreat

    Leeanne:
    • She has been invited to work on a WS 101 online course, embedding information literacy into it. They are talking about extending this throughout the WS curriculum

    Tim:
    • He has completed P-Card training
    • The MDEI Group will be coming to present to WebOps in May. He will send an invitation.
