Meeting Minutes, April 8, 2010

  1. Approval of the Minutes, March 25, 2010:
    The minutes were approved with corrections.

2. Additional Agenda:
There was no additional agenda.

3. Business Arising:
Item 4, Can You Find It Challenge: Zsuzsanna will speak with Eva about posting GIS questions following the hands on session at the Retreat.

Item 6, ISR Retreat 2010:
• Kathy spoke with Annie and Jennifer about desk coverage during the retreat. Both said they will cover the desks as much as possible.
• The Davis Conference Room and the Flexlab have been booked for the 2011 Training Retreat (Thursday of the last week in April)
• All session providers have confirmed the date, time, and location for their sessions.
• Kathy sent a message advertising the “Staying Organized/Task Management Tips session. The message included a request for volunteer panel members, as well as a moderator. She has received some responses.
• Email notification of the date of the Retreat has been sent to everyone.

Item 9, Around the Table – Training MLIS Co-op Students:
An MLIS co-op student has been hired and will start May 1st . The individual will be trained for both the Porter and Davis information desks. Christina (co-op student in Cataloguing) will be trained for the Porter desk. Carol will start to co-ordinate the training sessions. Action: Kathy will speak with Annie and Jennifer about getting a better notification system in place to alert the Training Committee of a new hire’s start date.


4. Can you find it Challenge:
a) Next Stats questions: Carol noted that, currently, there are no stats questions posted on the “stumper blog”. The plan had been to post 2 questions each month. It was decided to delay posting these questions until the end of May given that other spotlights are scheduled over the next month. Questions for these sessions will be posted.

5. Spotlights/Training Sessions:
a) Business Information Resources, May 14th: Carol noted the session location has not yet been confirmed. The Porter conference room is available as it is always booked for 9:30 a.m. on days when there is a Department meeting. The same practice is not followed in Davis. It was decided that Carol should book the Davis Conference room for 9:30 a.m. on the 14th in the event there is a joint Department meeting on that day. It was also suggested that Davis adopt the same practice as Porter when booking their Department meetings.
b) Advanced RefWorks: Jackie’s schedule has changed and she is now available to give an Advanced Refworks session on April 16th. Martha will convene. She will ask Jackie if she is willing to post questions to the stumper blog.

6. ISR Retreat 2010 – May 6th, 2010:
a) Guest speaker on Information Literacy – Sheril Hook, UT Mississauga update:
Sheril will have a brief synopsis of her session written by next Wednesday to go into the advertising flyer for the Retreat.
b) Lunch – update: No action has been taken. Judy and Connie will begin sourcing items as soon as Connie returns from vacation.
c) Sessions – update:
1. Accessibility and the Library – Annie and Janet: Annie has asked if an invitation to this session could be extended to the Campus Web Redesign Committee and also to Susan Routliffe, Sharon Lamont, and the Circulation Managers. There was discussion about possibly extending an invitation to the Circulation Managers and Library Exec for the whole day. Kathy will take this back to Annie as the group had some questions.
2. Staying Organized/Task Management Tips – panel: Kathy reported she has received some responses to the message she sent out. Jackie has agreed to be the moderator and Jonathan has volunteered to be on the panel. Alex McCulloch, Annette Dandyk, and Nancy Collins have also been suggested as possible panellists. Kathy will follow-up.

Due to time constraints, the remaining agenda items were deferred. Kathy will send further details about session updates and video casting by email.
