Meeting Minutes

Present

1) Approval of minutes of August 26

The minutes were approved, with the following changes:

#3-Business Arising- “private site on UTube” should read: “private site on YouTube”

#4-1) Terms of Reference – add the following. We need to have more partnership with supervisors and department heads. We need to identify what is necessary to know at the service points, and what is nice to know.

Terms of Reference

The Committee continued to review the Terms of References and the following issues were discussed.

Annie suggested that the Committee take responsibility for maintaining the Policies and Procedures Manual for Information Desk Staff, currently being revised by Judy McTaggart and Marian Davies, and other core training materials.
Membership on the Committee was discussed, including the representation between ISR and non-ISR members. One consideration was having less or no librarians on the Committee. The chair might be from one of the 4 ISR members rather than an additional member. Five members seems like a good working number, however no firm decision was made on the number for the committee or the composition of members.

Connie is to look after the following:

Scheduling meetings for the year.
Setting up Training Schedule for new staff
Catering for the Retreat

5) Staff Survey

Kathy will add the questions on the Training Retreat to the staff survey. The survey will be sent out by next week so that respondents can return the survey to Connie by October 1st.

Kathy will distribute the survey to Optometry; Connie will distribute the survey to the Davis Staff and Judy will distribute it to the Porter Staff.

Connie will collate all the results and have it ready for the next meeting on October 14th.

6) Training New Staff

Margaret will find out if there are new ISR co-op students that will need to be trained for the Information Desk in January. Zsuzsanna will confirm if Colin Fitzsimons, co-op student from UWO will be on the desk.

7) Spotlights/Training Sessions

There are no sessions that need to be presented in September or early October, so we will wait for the survey results and then plan accordingly.

8) Tasks to do: updating websites etc.

In the next while we will review how we might change staff training to shorten the training period for new staff, and how best to train current staff. We will need to review the literature for examples of best practices.
