Minutes

Present: S. Arruda, Y. Gordon, J. Forgay A. Naese (recorder), A. Fullerton (Chair)

1. Business Arising:
a) The 1996/97 statistics have been entered into the Excel program.

Action: Anne F. will send out 1996/97 statistics in the annual report
format.

Action: Jane F. will look into if/where the Porter PowerMac (WWW)
drop-in clinic statistics were reported.

b) Larry Brown will work on updating last year's WATCAT game.

c) TUG Harmonization of circulation policy will not come into effect
until Voyager goes live.

d) There will be very little restructuring of the Porter 1st and 2nd
floors before Sept. '97.

e) Evening classes run from 7-10 p.m.

2. Student Life 101
Anne F. presented notes from the April 3rd Student Life 101
meeting. The committee decided to have a staffed display at the August
11th event from 12:00 - 4:00 p.m. The theme will be Library as a place:
Cyberplace, Study place, People place. The Library will not offer
scheduled tours. If there is a web site for the event we could suggest
links to Library sites.

Action: Jane F. will work on a handout/brochure for the event.

Action: Ann N., Susan A. will work on a display mockup.

Action: Ann N. will contact Cheryl Kieswetter concerning the
advertisement that was placed in the '96 orientation newspaper.
This ad may have information that could be used for the
display/handout.

3. Terms of Reference
Anne F. presented an outline of new Terms of Reference using the
1992-93 terms of reference but updated to reflect the current practice.
Jane F. proposed establishing a task-group to handle fall orientation with
one member from the User Education Committee plus other knowledgeable
library staff. This would leave the Committee time to investigate/develop
BI ideas/programs.

Action: Members are to review the draft.

4. Orientation Activities List
Cheryl Kieswetter and Esther Millar are willing to handle the
items they dealt with last year plus update/develop brochures/flyers
from material removed from Linda Hastings machine. They did request the
receipt of information sooner (even if just partial information). These
changes are reflected on a new draft of the Orientation Activities
List.

Due to Linda Hastings' absence and the new Voyager project it was proposed
the have a minimalist approach to fall orientation. No new geneal
tours/workshops will be developed. With the aid of the 1996/97
statistics some of last year's workshops/programs that received low
attendance might not be offered.

Esther Millar will provide numbers, costs for items printed for last
fall's orientation material.

Action: Susan A., Jane F. will count the number of Porter mini-guides
remaining.

Action: Ann N. will contact Audrey Sloboda in the Grad Office for the
number and deadline for the Grad Student card/brochure.

Action: Ann N. will contact Graphic Services about reprinting last year's
poster and get cost on changing colours and/or the picture.
