Minutes

Present: Susan Arruda (recorder), Yulerette Gordon, Anne Fullerton (Chair), Ann Naese, Jane Forgay

1. Winter 1997 Orientation

a. Brochure
The Fall 1997 Brochure theme and design will be used for the
Winter 1997 Brochure. Colour - Yellow.

b. Web Page
Action:
Anne F. will work with Cheryl on the winter orientation web page.

c. Sessions
Actions:
Yulerette will confer with librarians for sessions:
Graduate Students - Jim Parrot.
Electronic Data Base Searching; The Basics - Doug Morton.
ERL - Doug Morton.

Jane will confer with librarians for sessions:
Government Publications - Susan Moskal, Marina Wan.
ABI - Faye Abrams.

The Small Group sessions will be advertised as in the fall
orientation brochure.

d. Room Bookings
Committee discussed various places orientation sessions could be
held. Jane reported that the Internet Cafe in the village is
still under construction.

Actions:
Jane will contact Bob Hicks regarding the use of IST labs and look
into other labs available on campus.

Anne F. will look into the availability of the ChemCat labs in
Engineering.

Ann N. will look into the labs in E.S.

e. Voyager

Jane discussed Voyager Orientation plans with the Committee.
Voyager Orientation to include:
-Roving Librarians. First week Voyager is live. Roving
could continue for the first while by incorporating it
into the desk schedule.

-Drop in Clinics. Offered daily for the first two months
at staggering times throughout the week. Times posted
daily.

-Demos. Basic and Advanced. Held preferably in house.
Offered once a week for approximately 8 weeks after going live.
Demos will include the web version. Jane may have the
opportunity to include some Voyager orientation into
her Internet Cafe sessions depending on the Voyager live date
and the Internet Cafe completion date.

-Hands On. Basic and Advanced. Sessions offered will
depend on the labs available. Offered, ideally, once
weekly for approximately 8 weeks after implementation.

-Training Material. Voyager staff training literature and
practice sheets could be used with student sessions.
Jim ParrottUs web-based walk through would also be available
for student sessions.

Action:
Jane will contact Rochester University, previously a GEAC site -
currently using Voyager, to discuss various orientation options.

-Publicity. There will be a basic display introducing
Voyager.
Action:
Jane will contact Mary Stanley regarding publicity issues i.e.
brochures for remote users (access and information leads), promoting
web access, etc.

Anne F. will find out if dial-in-access is available for the
ASCII-text version.

Jane will forward TUG ALL information to the committee.

2. Meeting with Selectors

The Committee discussed meeting with the selectors. Meeting date
of April/May 1998 was agreed. The meeting could include brain-
storming sessions on how to better meet our students needs.

Anne F. reported that statistics are available for undergraduate
course related sessions.

Action:
Yulerette will work with Cheryl to ensure Fall 1997 statistics are
available.

Committee will email staff to ensure all orientation statistics
have been submitted.

3. Annual Reports
Anne F. provided the committee with statistics for the following
sessions;
-Course Specific 1995-1997 (Undergraduate & Graduate
Sessions)
-Workshops on a Specific Tool or with a Specific Topic
-Special User Groups
-User Education Statistics May 1997-April 1998.

These statistics will be incorporated into the User Education
Annual report and will contribute to the UW library Annual Report.

Action:
Anne F. will send a draft of new activities, new ventures to the
Committee.

User Education Annual Report - deferred until January meeting.
