Minutes

Present: Susan Arruda, Linda Hastings, Jane Forgay, Erin Murphy, Anne Fullerton, Ann Naese, Yulerette Gordon

1. Welcome to Erin Murphy
Erin returns to the committee as a second representative for the Dana
Porter Reference and Collections Development Department.

2. Handouts were received
TRELLIS Terms(work in progress): comments to Jane by Monday, June 22
Graduating Class Survey 1997 from Western's Engineering Library.
UW First Year Transition Survey Results compiled by Kelly Foley, Student
Services, with summary of reasons students had not attended a
library tour and reasons why they wished they had.
Sheets from the University of Arizona Library (Ruth Dickstein)
describing workshops on "Librarian/Facluty Technology
Partnerships" and on "Teaching Librarians to Teach."
Action: all review

3. Graduate Student Flyers
Action: Ann to review links and report any changes to Linda. Linda will
make changes, get the flyers printed, and deliver to Grad Office by July
17.

4. Circulation module overview for Information Desk/Reference Department
staff.
Jane reported that two identical sessions, given by Alex McCulloch, User
Services, will be given at the Davis Centre Library Conference Room: June
29, July 22. Response so far has been good.

5. Student Life 101 - August 4.
Yulerette led us through a checklist of "to dos."
a) Display creation
Action: Linda, Susan, Erin will confirm the contents and create the
display. May involve orginizing a photo shoot. DEADLINE: end of July.
b) Display set-up on Friday July 31 at Fed Hall.
Action: Yulerette and Anne will do this.
c) Bookmarks
Action: Linda to see that 2,000 of the "Explore the Library" bookmarks get
set aside for the event.
d)Booth staffing schedule
9-11 Ann/Jane
11-1 Anne/Susan
2:30-4 Yulerette/Carol
e) Final Jeopardy
4-5 Anne and anyone else who'd care to come
f) T-shirts
Action: Everyone who's staffing bring their shirts from last year.
g) FAQs
Action: Anne will compile a list and forward to the rest of the committee
for proofing.

6. TRELLIS Tuesdays
a) Dates/Location for July/August: July 7,21 and August 25, Porter
room 428 (hands-on).
b) Promotion:
Action: Jane to send Linda text for flyer. Linda to create flyer in paper
and web form.
Action: Jane email Library staff about these sessions.
Action: Anne email Staf Association and see about FAWU Forum piece.
Action: Jane to ask Cheryl to post on UW.general.

7. Workshop for Librarians/Faculty
Deferred ... but
Action: All read related handouts mentioned above for the next meeting.

8. Faculty coffee break
This will be held in September. Date yet to be confirmed.
Action: Ann to find out who has been hired (faculty and sessionals) in the
last two years.
Note (June17th): Anne has discovered that a running list of new
faculty/sessional can problably be obtained from the secretariat and will
follow through with this.

9. TRELLIS tabloid piece
No decision was reached on what the User Ed piece should be. We would like
to know what the rest of the paper will include. See #10.

10. Working with the PR group
It was felt that Mary Stanley should be informed of our coffee break plans
(#8) and we would like to know more about the TRELLIS PR group's plans for
the fall.
Action: Anne to set up a meeting with Mary Stanley within the next two
weeks.

11. Fall Orientation:
a) Poster and bookmark - designed.
b) Brochure
Action: Linda to create draft and distribute to members.

12. Fed Handbook entry
Susan secured a library entry in the handbook's list of on-campus
resources.

13. Bookmarks to Faculty of Arts for its pre-registration.
Susan reported that the bookmarks that were requested by the Faculty of
Arts were printed and delivered on time.
