Minutes

1. Pam Charbonneau:

Pam reported on activities that were being considered for Orientation
week.

1. Student services tours will be organized by each faculty and held
throughout Orientation week. This would involve a 5 minutes stop at all
service points (Library would be included in this tour). The size of
groups would very but there could be up to 200 people per group.

ACTION: Melanie and Connie
A. Put together a point form list of information to be used in a 5
minute welcome to service point tour participants.
B. Look at and if necessary streamline "in library" tour guidelines
C. Set up times for Library tours for the fall.

2. Scavenger hunt- these are normally held on Friday evening.

ACTION: Ann
A. Will contact Pam and ask her to inform Faculties if they are including
the library in a scavenger hunt etc. to please let user education
committee know ahead of time so the Library is prepared.

3. Daytimer booklet with question and answer section will be sent to
students in August. The Library is included in the daytimer.

ACTION: Jane will coordinate times for Journal index ,Trellis,and Library
Tours to be submitted to Pam to be included in the daytimer.

Pam will address the Library's involvement in Orientation week with FOC
to see how we can best fit in.

6. Mini-guide/hours card update.

Melanie reported the mini-guide has been updated to include location of
study rooms in Porter and explanation of the term "TUG". As well some
phone numbers were adjusted. The "Library Hours" card was fine.

Melanie asked about redoing the Porter floor plan for floors 1-3. Because
of the possibility to delays and or last minute changes Linda prefers
to wait until the project is closer to completion before making floor plan
changes.

ACTION: Linda will redo Porter floor plan when project near completion.

7. MAP/Poster
Linda gave the committee a preview look at the Fall poster.

ACTION: Linda will design bookmarks and a button for the fall
orientation.

Linda reported the route maps to Guelph and Laurier were not yet
completed.

ACTION: Melanie will provide Informal photocopied maps to be filed at
the Porter/Davis/UMD Information Desks. Copies will also be given to the
Library Attendants. These will be replaced when Linda completes the
formal handout version.

8. Systems fail notices/procedures

Systems Fail Notices have been printed and will be kept at the Attendants
box. During the day Day staff will be responsible to put them up when
necessary. It will become part of the Attendants duties in the evening.

ACTION: Melanie will work out procedure and implement.

9. Brochure Entries
Action: All
Compile and submit to Linda dates and times of fall workshops.

10. Use of 428/Hollinger station

428 will be kept as it is until the completion of LT3.

 

11. Ideas Exchange June 99 update

Porter would like to include Library assistance. June 10 - morning is the
planned date.

Action:
Ann will book room - ENV1 room 221.
Jane will do further planning for the day.

12. Kiosks

Action: Signs for Kiosks will be reviewed and dealt with by Linda.

13. Tugweb - to be discussed at next meeting.
