1. Update on publicity issues (Mary Stanley)
a) Imprint Article
Good article in the Imprint’s Special Frosh insert about using the University’s libraries.
b) Online Resources for Students
i) UW Student Life 101 E-zine
This is an e-zine designed for an audience of first year students. Regular information from the library (articles, etc.) with links to the different library sections and resources would be great.

Two students put together this non-sanctioned website all about the University of Waterloo. The focus of the webpage is news and services for students. We should contribute articles here as well.
c) Paper promotion of Fall Publication
Flyers are being mailed directly to the faculty/grads/staff (to be ready at the end of September).
Suggestion was made to include a small feedback form on the flyer to judge the usefulness of the mailout (i.e., should we also be promoting it electronically?).
Should consider the possibility of mailing it to ALL staff on campus.

4. Review of Fall Program
a) Tours
Tour slots are filled.
b) Trellis
Spots are filling up. The scripts are being currently worked on.
c) Finding Journal Articles Fast
Margaret is working on her part of the script.
d) Smart Searching Techniques
Everything fine.
e) International Students
There will be approximately 120 students participating. They will be divided into two groups. One will be in the LT3 Flex Lab for some hands-on training and the other group will be in Davis for a tour. At the halfway point they will switch.
f) Other

5. Publicity of the Fall Program
* Looks good!
* Linda is also doing some half-page flyers.
* “Today in the Library” posters are done. Where should this poster go in Dana Porter? The pros and cons of the different locations and visibility were discussed. A decision was made to leave the posters at the current location near the Information Desk.
* Suggestion was made to change “Library Classes” to “Tours & Workshops” on the Help category from the Library’s home page.
* Upgraded the kiosks to be more legible.
* Flyers are given to all the residences, church colleges, and each academic department.
* Flyers have been sent to the following libraries: Dana Porter, Davis, UMD, and Optometry.
* A poster run was done through the Federation of Student boards for a two-week period at 102 spots.
* Posts have been sent to newsgroups.
* Virtual tour is being updated and proofed, it will be ready soon.
* On line promotion - Linda will take off sessions once they are past their date (updated on an approximately weekly basis.)
* We are looking at getting a digital camera for more photos.
* Student handbooks will be ready September 14, 2000
Registering Electronically from Public Workstations
This has been a problem for some patrons. Marina has developed an online form that should solve this problem and will be available soon.
Should status be on the form? Decision made: Yes.
Should student ID and Department be on the form? No definite decision at this time.
Form should say: “Thank you and we will confirm your registration” at the end of the form.
Should also mention that if participant can’t come to the session they should email instruct@library.uwaterloo.ca
6. Library Classes
Jane Forgay suggested that we should add course specific classes that the Liasison Librarians are responsible for to the Library Classes web page. The consensus of the committee was that we should not pursue this.
The name “Library Classes” wasn’t liked - why not change it to “Tours and Workshops”? The list under Help says Library Classes - Linda will change that to “Tours and Workshops”.
Action: Jackie will get back to Jane.
7. Evaluation of programs
Erin will send everyone a sample short evaluation form to look at that we may want to adapt to use in our trainings.
8. Other Business/Around the Table
Maureen noted that the Undergraduate web page needs to be updated to reflect the policy changes, as outlined in an email by Wish, to allow UW undergraduates to submit requests for WLU books and journal articles to be picked up at UW.
Margaret will update the undergraduate web page.
Erin is updating the faculty page.
