Linda provided this information about her vacation and work schedule with regard to actions for Fall Orientation. Linda’s vacation dates are posted in staff web [July 7- 22]
Linda distributed a draft copy of the Fall 2001 brochure – these points were discussed
i. Layout (Linda)
Layout for tours and sessions geared to Undergrads has been changed to follow numbered ‘4 step’ sequence: 1- Tours; 2-Trellis Sessions; 3-Find Journal Articles Fast; 4-Smart Searching Techniques. Suggestion came from C. Stephenson.
Collective feedback from group on the basic layout for Fall 2001 brochure was very favourable.
Action: Linda noted specific suggestions re final text and format for two shaded text boxes “Steps To Building Your Research Skills” & “Undergraduates Plan Your Research” and will revise as appropriate.
ii. Registration Form (http://www.lib.uwaterloo.ca/usered/form/)
Brochure indicates that advance registration is required for specific sessions and users are referred to this online form for registration. Group reviewed draft registration form provided by Marina Wan. Discussion focused on the form itself & staff procedures related to messages received through the form.
Current Procedures?? Val and LINC members receive a copy of all messages sent from registration form. Val confirms registration for each request by sending reply to address provided [This is not copied to any other staff members] Val has maintained a record in print of all registrations confirmed for each workshop at specific time, date, and location. We would like to make some changes to how registration requests are handled in library to make information about pre-registration more readily available to all Library Staff members, i.e. ask Val to maintain up to date list for each workshop in UW Library Staff web.

iii. Smart Searching Techniques
Shorter title and more detailed description for this workshop in brochure would be more effective?
Action: Margaret and Erin will consult with Doug, Dan and Linda about final wording for brochure.
iv. International Students
Staff in ISO indicated they have scheduled this Fall’s orientation for international students, over more than one day.
Action: Janet Wason and Doug Morton will coordinate all library sessions offered in conjunction with ISO’s Fall programs for International Students. They will contact Linda by July 2 if any change of description is required for this section of Fall Brochure “Special session for International Students”
v. Information for Graduate Students
Margaret and Dan reported on meeting with Anne, Margaret, Dan, Connie, Jane, and Donna Ellis of Trace to discuss the “Information for Graduate Students” sessions. Meeting was quite useful; specific suggestions about how to make lecture style presentation more engaging and interactive were discussed. These will be applied to Fall 2001 sessions for Graduates.
6.E-magazine (Linda)
Linda distributed DRAFT notes about this new E-publication for UW Library. See attached copy of Linda’s notes.
First issue is planned for September 2001. Information for the publication will be generated from our own staff, monthly managers meetings, etc. This publication will replace FYI. Name of publication will include logotype ‘@your library’
Linda would welcome a submission from LINC for September issue: an article to highlight library orientation services for anyone new to campus this fall.

DRAFT
New E-Publication for the Library
This fall, we would like to introduce a new communications vehicle for the Library. This new e-publication is a combination newsletter, e-zine, and online news source. The purpose of this resource is to provide a means of communicating with our various clients. When a survey was conducted last fall asking faculty and grad students how best to communicate library information, the results overwhelming pointed to an electronic-type publication. Through this proposed e-publication we will communicate information about new resources, services we offer, current issues facing the Library, etc. The very nature of the publication will allow us to reshape and grow it according to our clients' needs.
Information for the publication will be generated from our own staff, monthly managers meetings, etc. This publication will replace FYI.
Distribution
The e-publication will reside on the "What's New" section. We will also link the publication with other news vehicles on campus such as the Daily Bulletin, Imprint online, uwstudent.org, etc.
@your library
The name we would like to use would incorporate the trademarked brand @your library that was designed by ALA as part of their new public awareness campaign. One suggestion is "happenings @your library." Another idea is that the publication becomes "What's New @your library."
