Margaret welcomed Sam to the Committee.
Up to now, statistics for Library Instruction workshops have been collected via an e-mail form (the handout entitled “Library Instruction Workshop Data Form”), and the data entered manually into an Excel spreadsheet. This method has proven to be labour-intensive and time-consuming. In 1998, Glenn Anderson of Information Systems and Technology (IST) designed a form, which was linked to a database (handout “User Education Workshop Data Form”), but this system was never implemented.
Chris pointed out that in our present system the spreadsheet is consistent with the form because it is corrected manually. For a database to produce accurate results, the data must be consistent to start with. He noted that it is easy to add more components to a database form at a later date.
The Committee examined both data forms and compared them to the spreadsheet in order to decide which fields to retain for analytical purposes. It was decided:
Chris will examine the e-mail form and begin to develop a database table. He will be able to give us a sample form to try out. However, given the constraints of vacation times, it would be unrealistic to expect that the new form would be operational by Sept. 1.
Item 3.i--Lenka has completed the room bookings.
Item 4—Jim has written a description of library instruction events and sent it to Mary Stanley.
Item 5—Once Fall Orientation is completed, the Committee will consider a replacement for the ‘TRELLIS Basics’ brochure. Margaret will look for a volunteer.
Item 6.ii—Margaret has produced a draft of the LINC Annual Report.
iii—The Co-op students on work term page is almost ready to go live.
Item 7—Jim has prepared the evaluation form, which will be sent out once Rose has formatted it.
The Fall Orientation Brochure was approved.
The Committee discussed the design of the registration form. It was agreed that we found the ‘do not register’ radio button confusing. Linda will experiment with the radio buttons. Margaret will talk to Marina about other options.
Linda will send 10 brochures to each of the departments with Graduate programs, asking them to contact her if they require more copies (she has tried this strategy before with success).
Dan will check to see if he has a copy of the notes for Davis tour guides in the files he received from Jackie. Melanie is looking for a Davis staff member to be tour organizer there.
The Committee agreed to the above requests. Linda is in the process of revising the Guide to the Libraries page and will add the links for all affiliated libraries (except for St. Paul’s). She will send us the URL to review when the first draft is ready.

Dan mentioned that the handout for the Science version of ‘Find Journal Articles Fast’ was ready.
Lenka announced that the ILL display was ready to be mounted on the kiosk. It will be displayed until the end of August when Orientation information is put up.
