  1. Minutes of the Meeting of June 4, 2002.
The revised minutes of June 4th were approved.

  2. Business Arising
Under the June minutes, number 7, recommendation #6, M. Aquan-Yuen reported P. St. Pierre is still waiting to hear from the Ethics group re: focus group.
    J. Wason will discuss the International Student Workshops under the Fall program item.

  3. Additional Agenda
    M. Aquan-Yuen added Statistics to the agenda, bumping up Around the Table to number 10 on the agenda.

  4. Fall program - tours and workshops
At first glance M. Aquan-Yuen noticed the increased number of fall tours and was curious how that decision came to be. She mentioned the difficulty it would be to round up enough volunteers required and perhaps the group should reconsider. After some discussion the group decided to keep the first week as is, but in the second week drop to one tour a day. From Sept. 16 through to the 19 (Mon-Thurs) a tour will be scheduled at 1:30 pm.

A note on advertising for the tours and workshops was raised. A suggestion had been made to advertise in the Student Planner. This is something we could pursue for next year.

    International Student Workshops
    J. Wason spoke to Darlene Ryan (the person in charge of the International Student office), and learned about the planned changes to their schedule of events, which in turn affects the library.
Due to conflicts with the scheduling a decision was made to offer information sessions to International Students every Tuesday evening throughout the term. The earliest the Library could participate would be September 24 - providing the Flex Lab is available and the International Student office can make any necessary adjustments. Janet will enquire as to how flexible the schedule can be to fit in a Library workshop before the end of September and report back to the group.

    Grad Sessions
    D. Sich reported that he's begun work on preparing the sessions. The schedule is firm. Also, D. Sich will be conducting a grad session for math and one for physics. Advertising will be targeted to the appropriate groups, and will not be included in the brochure.

    Keeping Current - Digitally!
A request was made to include a focus on social sciences, similar to what we see for engineering. M. Aquan-Yuen will speak to Shabiran Rahman and Erin Murphy regarding this to find out more information. D. Sich will forward a description of the "Engineers - Keep Current - Digitally!" session.

    TRELLIS
    M. Aquan-Yuen reported everything is fine with the Trellis section of the brochure.

    Find Journal Articles Fast
There is some concern that D. Sich is left without a backup in this area. M. Aquan-Yuen will request support from the Davis Librarians. M. Aquan-Yuen and E. Murphy will be conducting the social sciences workshops for Porter.

    Smart Searching Techniques
Both D. Morton and D. Sich will be conducting these workshops, two in Davis & two in Porter

  5. Staff Web - LINC
    M. Aquan-Yuen followed up on an earlier suggestion that we undertake to model our web page after the User Services web page. J. Wason has agreed to work on a general statement, S. Gibbon has agreed to work through the logistics and then pass it over to R. Koebel to make the necessary changes. We've set a deadline for the end of summer.

  6. Tasks/Responsibilities (see attachment)
    M. Aquan-Yuen provided a checklist to clarify who's doing what. (I've included the attachment as part of the minutes - points discussed during the meeting are indicated in bold.)

Areas left blank may be filled in by other members of the group at our next meeting.

  7. Publicity - brochure
Suggestions for the cover of the brochure are as follows:

    Hey
    UW Smarties
    See you @ your library

    Hey Smarties!!
    See you @ your library

    Welcome Smarties!!
    See you
    @ your library

    Our preference is:

    Hey Smarties!!
    See you
    @ your library

The emphasis is to keep @ your library on one line, to use the same font as seen on the Smarties candy box, (white font with a black border).
Also, ask L. Hastings if the hyphen can be removed or placed in the middle (see last year's brochure), in the Library tours section between the dates and times.

The statistics will be deferred to our next meeting. M. Aquan-Yuen may call a meeting sometime later in July. Otherwise, our next meeting is August 2, 2002, Room 224A, Porter Library at 9:30 - 11:00 am.
    Meeting Adjourned.
