Minutes

  1. Minutes of the Meeting of June 3, 2004:

    The Minutes were approved.

  2. Additional Agenda:

    There were no additional agenda items.

  3. Business Arising.

    Item 6: International students webpage – Janet presented the idea to ISR, who suggested an informal survey among these students be conducted to see if this is indeed desirable. Anne Fullerton and Helena will compose three pertinent questions, and if the response is favourable, we would request a direct link to the new page from the Library home page. (Refer to memo from Janet dated June 30)

    Item 7: Outreach activities – carried forward by Helena

  4. Membership:

    Helena formally welcomed Sandra Keys to the committee.
    Helena will approach Anne Fullerton to request Morag Coyne join the committee if she is interested, for the duration of her contract.
    Helena and Sandi will request Rachel Caldwell help with workshops and other orientation work.

  5. Fall Orientation (Helena and Linda):

    Online Registration form:
    This form needs to be updated and linked to the database so that the automatic response to the applicant contains the correct date for the workshop requested.

    New sessions:
    There are two – ‘Using the Web as an aid in research’, taught by Jim Parrott and ‘RefWorks – the basics’, taught by Anne F and Sandra. They will get extra promotion during the term.

    Other sessions:
    A call for instructors for all other sessions will go out this week. The instructors must also check the links from their course to the evaluation form.

    “Building Knowledge @ you library” brochure:
    The brochure is complete and is ready for proofing by Esther. It will be sent for printing by the end of this week.

    Library guides
    Linda has almost completed the updated versions of floor plans for both sites.
    The guides also include the information that workshops and tours may be requested at any time. Marian Davies in Porter and Ted Harm in Davis will be the contact people for these requests.

    “The Library helping you” brochure may need a re-print. Janet inquired into the possibility of having a Braille version. Sandra offered to work on this.

  6. Library Tours (Melanie and Linda):

    Melanie reminded that this year’s tours, conducted by student shelvers over four weeks, is a one-time experiment, in order to establish the most popular times for tours in the future. Funding has come from User Services due to the Davis closure, but this amount probably will not be available in the future. Therefore, the data must be collected carefully, and the tours should be given more promotion than normal. Suggestions for this promotion were tabled – to be further explored.

    Script for the tour based on the new Davis layout will be written by Linda and reviewed by Anne F.

    Virtual library tours: Linda will be updating these in time for orientation.

    Promotion: Candies, wrapped in gold with a logo, will be freely given out, as will new bookmarks
