The minutes of the meeting of October 12, 2004, were approved with the correction of Sandra’s last name.

Janet noted that Ted’s name is still on the personalized session page. Action: Helena
Janet mentioned that some of the secondary pages under “undergraduate” are sill using the old font. Helena and Linda replied that Rose is currently working on converting them to the new template.
Janet would like to add the Adaptive Technology Fair to the list of outreach activities maintained by Mary Stanley. It was decided that this was a good idea. Action: Janet will speak to Mary.
GIS Day at UW
GIS Day at UW is on November 17, 2004. An open house will be held in the ES1 Courtyard from 1:00pm-4:00pm. The Library will also be open at this time. Eva has been doing a great deal of work preparing for and promoting this event. She is hoping to attract faculties with which she is not already in contact. She has recently sent a message to liaison librarians about this event, asking them to promote it to their departments. Members of the Committee offered some suggestions for potential interested faculties/departments. She is hoping to have students bring projects which show what they have been doing with GIS data. Several students have been contacted, but she has had no responses yet. She continues to try! Brochures and posters are available and there is also a website (http://www.fes.uwaterloo.ca/gisday/). They are asking people to RSVP. An article will be put in the Daily Bulletin.

Winter Term 2005 Library Instruction Program
Helena reported that she has sent an e-mail requesting instructors and has someone for all of the sessions. Sandra has volunteered to do another RefWorks Basics and perhaps an Advanced. It was suggested that some brochures or posters be prepared to advertise the Winter Term sessions. Melanie asked if we should consider specific “undergrad” sessions for the Winter Term. Melanie offered to get some statistics for us to use in a future discussion of this issue. It was noted that actual attendance at sessions is much lower than expected from the registration page and it was subsequently suggested that reminder notices be sent out a couple of days prior to the session. Another issue pertains to the fact that the Keep Current sessions are linked to the IST page, with registration being done there, rather than through the Library. Laura Briggs was unable to access the registration for the recent session and there was no one available at IST to assist. Should registration be brought back to the Library?
Action: Linda will prepare promotional material
for the Winter Term sessions – a fold-over brochure for the Libraries
and a flat version for distribution across campus. Helena will send
a reminder to Linda near the end of November.
Action: Melanie will collect statistics on
the number of incoming undergraduates and compare them to previous
years’.
Backup function for Linda Hastings
Helena reported that she and Linda had met to discuss the need to ensure that workflow for LINC-related work is handled efficiently in Linda’s absence. For example, occasionally, quick fixes to documents are needed. Linda has agreed to provide access to her LINC-related files and has chosen Marian Davies for three reasons: 1) she is Mac-savvy, 2) she has a creative personality and is artistic, and 3) she has worked with Linda in the past and is trusted. Helena has discussed this with Marian and she has agreed. Helena will confirm with Marian’s supervisor. Linda will talk to Marian, train her, etc. Linda will put Marian on as another user on her computer. Marian should send any information for the LINC website to Rose Koebel. All web-related changes should go through Rose.
Action: Helena will speak with Marian’s
supervisor.

with Marian and ensure that she can access the appropriate files, etc.
