#6 – Linda reported that the PowerPlay overview presentation has now been arranged at each TUG library. Two sessions will be held at UW on June 2 and June 14. Managers, librarians and affiliated library managers have been invited and all managers are encouraged to register by contacting Linda.
User Services Pilot Projects –– Sharon Lamont
Sharon reported on four pilot projects currently under way:
Electronic Reserves
- E-reserves is now in full production, a continuing service
- Aspect of this service that was a pilot was copyright clearance
- Received $3,000 funding for the next fiscal to continue
UW@UW
- Received $5,000 funding to continue the book and article retrieval service of UW materials for UW faculty, staff, and graduate students for the next fiscal year
- The primary cost is of photocopying as the retrieval and copying has been done by casual staff funded through OWS
Some Stats :
- Between May 1/03 – Feb 29/04 – 4774 UW books were retrieved (more than 50% from Porter; 37% from Davis ) – college library volume ranged from 20 TRACE to 185 from SJU
- Between May 1/03 – Feb 29/04 – 4689 articles were copied (37% from Porter; 63% from Davis , minimal from other sites)
Inventory
- All funding to date for this project through UW Coop work placement (again this term)
- Most issues are being resolved within user services; however 2 ways in which this project will have an impact on ISR staff is deciding about replacing missing items and deciding if items which have been found should be re-added or discarded
- As funding permits, we will continue with the inventory

- Similar patterns and trends as last term; we resolved the biggest problem with signage and a Davis Cleanup Project:
- Directed by Sharon Bissonnette
- Casual staff hired – 5 hours/week, starting mid-term
- Effective in that the environment was not a pig sty; a challenge in that attitudes have been slow to change
- Should Porter open 24 x 6 this summer? Sharon asked for feedback from Managers of any concerns they might have if this project were to continue in Porter.
Public Printing – Linda Teather
Linda distributed tables which summarized the volume of public printing in 2003/04 and the related costs and income in each library.
The total pages printed for 2003/04 was 563,481, total printing jobs were 112,744.
2004/05 computing expenditures – Carl and Linda will meet with Mark to talk about computing expenditures for 2004/05. If anyone anticipates any “special” hardware or software, let Linda know by the end of May. Systems will already be planning for upgrades to existing hardware and software, but other significant needs should be identified.
Oracle calendar – Last week we started a library evaluation of the Oracle Calendar software purchased by the University to replace Synchronize. About 20 staff are involved in the evaluation. The campus will be implementing this system throughout the summer and the library could begin to come on board later in June.
Update on accessibility plan – Susan Routliffe
One of the barriers identified in the library’s accessibility plan was some of the electronic resources that we own. Accessibility issues needed to be identified so that when negotiating with vendors those needs could be discussed. Rachel Caldwell, ISR coop student, prepared a report which included a checklist of accessibility needs.
Susan presented Rachel’s report at OCUL IR, who then decided to use Rachel’s checklist when negotiating with vendors. Susan will send a copy of Rachel’s report and the checklist to ISR and Managers.
ISR Updates :
- ISR will be hiring two library science coop students in the fall
- Plans are in the works to hire a contract librarian to replace Jackie (maternity leave). Anne, Carol and Doug will be hiring the contract librarian and hope he/she can be available for the beginning of July
- Carol will be responsible for optometry, health studies and kinesiology; the contract librarian will be responsible for systems design and earth sciences (Anne and Doug volunteered to carry these temporarily)
- Department head positions should be finalized early this week and then over to human resources for classification.
