Congratulations to Alison Hitchens who started in her new position as Cataloguing Librarian on July 4.
Christy Branston has been appointed to the UW Web Development Team’s usability testing group.
Mark provided updates on UW’s Kresge Foundation application, and talks with 3M.
Bill C60 on copyright has received a first reading in the House of Commons. The new bill allows for desktop delivery ILL if the original version is in paper. What the bill doesn’t do is provide for desktop delivery if the source is digital, e.g. an electronic article. The academic library sector is pushing for secure desktop ILL if the source is digital.
The CARL Copyright Committee (which Mark chairs), CARL legal council, and Impact Canada officials met for a full day on August 11 to discuss the legislation and to review specifics pertaining to the library sector. On Friday August 12th a smaller group met with Canadian Heritage and Industry Canada officials. A legislative committee will be struck in September or October
The group briefly brainstormed topics for future issues. Suggestions included:
Managers were asked to confer with their staff, and send their ideas to Mary and Rachel over the next few weeks.

We are experiencing difficulties with our NetLibrary electronic book orders. Originally, we were to receive MARC records for our ordered titles within three to four days. This has not been happening. At this point, we have approximately six orders outstanding that require MARC records to be provided by NetLibrary. Debbie and Betty have both been in touch with the representative from NetLibrary and he is looking into the problem.
Linda Teather is the Library’s appointee on the UW Performance Indicators Data Working Group, a workgroup charged with handling the data analysis and technical aspects of performance indicators identified by the UW Performance Indicators Task Force. The goals were to identify indicators to assess performance in areas relevant to the UW mission, to use data that could be readily gathered in a consistent manner annually, and to find a sufficient number of indicators to provide a complete picture. The indicators relate to undergraduate studies, graduate studies, research, faculty, staff, cooperative education, resources, fundraising, and the library. By measuring annual performance in each of these priority areas progress can be tracked, and areas where we may be falling short will be identified. The final report includes 36 performance indicators and approximately 80 charts. The report was presented to the Board of Governors on June 7.
The full report is available on the Institutional Analysis & Planning (IAP) web site http://www.adm.uwaterloo.ca/infoiap/
docs/pi.html#piThe Data Working Group is an ongoing group and will continue to develop performance indicators, methodology, and presentation of performance indicators. The next report is due in October 2006.
Equipment credits received in year two (this year) of the UW Alumni @ IBM Campaign will amount to approximately $165,000. One of the terms of the grant is that priority be given to supporting public use. It will enable us to purchase 87 workstations to:
The order has been placed and hardware should be shipped in late August/early September. Systems expects to start deploying the new workstations in the Fall term.
This checklist was created to assist managers with respect to Facilities and Systems needs when hiring new staff, moving staff, or when staff leave. It is a work in progress and may be modified as necessary, once managers begin using it.
The group reviewed a summary analysis of the comments received during the Online Library Survey about the new website that do not relate to the website. Kevin Manuel, (Western Library Intern currently working in ISR, Porter) did an analysis of the comments using NVivo software. Christy Branston, Mark Polger and Shabiran assisted with the project. Comments were divided into four categories – resources, authentication, services, and physical space and facilities.
CNAC will review the analysis and identify which departments or committees could best address individual comments and bring suggestions to a future Managers’ meeting. Managers will also look at the comments to identify issues pertinent to their units that could be changed, or that are already being done. A method of responding to the students’ comments, e.g. in news @ your library, or an FAQ will be considered at a future meeting.
A Data Day for the faculty, staff and students of the three TUG universities will be held in the Davis Library conference room on September 30.
Graduate students typically use two levels of data:
- DLI data that the Library provides. Some of the variables are suppressed for confidentiality
- Stats Canada master files where all information is displayed. This is not available to libraries and must be viewed at one of the viewing centres. The local centre, the South Western Research Data Centre, is located on the 2nd floor of PAS.
There is concern by librarians that many grad students go directly to the research data centres; however, the librarians believe that students should begin their research using DLI. It is believed that Data Day will bring faculty, students and library staff together to better understand how to get data, and to facilitate cooperation between libraries and the Research Data Centre.
The Library is planning to ‘piggy back’ with the Office of Research’s annual orientation program for new faculty on September 8. Mark will give a 15 minute presentation about Liaison Librarians and their role. The Liaison Librarians and all other faculty across campus will be invited to the orientation and the luncheon. The lunch will be sponsored jointly by the Office of Research and the Library.
Next meeting: September 6, Porter 407
