  1. Chair’s Remarks
    • Recognition and Commendation
      Congratulations to Sharon Lamont who graduated with an MLIS from Western last week.

    • Updates
      Freddie Swainston from Human Resources will attend the October 18 meeting to discuss career paths.
  1. Business Arising from June 7
    There was no business arising.

  2. Public Printing Update
    Public printing increased by 116% over the previous year. Total number of pages printed = 1,644,751 pages, approximately equal to 329 boxes of paper.

    Changes in 2005/2006 included:

    • Implementation of a new server and new software resulting in faster service.
    • Two new high speed laser printers were purchased and deployed as primary printers. The current printers became secondary printers.
    • A release station and printer were added in Porter, 3rd floor Sims Reading Room.

Plans for fiscal 2006/2007:

  • Possible installation of a 2nd release station and printer (or two) in Davis.
  • Systems is investigating the possibility of offering wireless printing so users can print from laptops while in the Library.
  1. Departmental Update, Davis ISR
    Managers heard a brief update about activities in Davis ISR. Of note:

    • The impact of the serials review was greater than expected. It lead to significant savings and supported the purchase of additional online resources.
    • Many weeding projects are underway. ISR staff is looking to find a balance between weeding to free up space and still providing appropriate resources for research.
    • Approval plan profiles are being updated. Davis is moving away from having one big profile in favour of having individual profiles for selectors.
    • Carol is actively involved in Optometry expansion planning and the space allocation for OLRC. OLRC staff are encouraging the use of e-reserves.
    • Web 2.0 is a major topic of discussion. The Davis report was created on a Wiki; then cut and pasted into Word.

Some challenges:

  • Integrating information literacy into UWAce courses. Some selectors are working together strategically – identifying the core classes, and working with other selectors. Also working with LT3 people to build the modules.
  • Increased graduate students - the number of graduate students on campus is expected to increase significantly in the next few years. This will have a huge impact on the Library and ISR staff are concerned about how to provide appropriate resources and services for them.
  • Lack of study space in Davis. Silent study areas are not self-policing and students want Library staff to police the areas.
  1. Porter Renovations
    There was a brief update about master planning for library renovations.
    During 6th decade planning, space was identified as a key challenge. The need for more space was reinforced with the UW Space Planning submission last fall. The Walter Fedy Partnership (TWFP) was hired to facilitate the process of creating a master planning document with short, mid, and long-term plans.

    Two planning teams were established with Alex McCulloch as Chair of the Porter Main Floor Renovation Planning Team, and Anne Fullerton as Chair of the Davis Renovation Planning Team. TWFP carried out interviews with selected library staff, and members of the campus community. They consolidated the feedback and produced a report.

    Managers discussed questions raised in the TWFP report, in a section titled Areas of Exploration: Opportunities and Constraints.

    A meeting of the Library Managers, the people who were interviewed, and TWFP has been scheduled for June 28. A final report from Walter Fedy is expected in the fall.

  2. Freedom of Information Legislation
    The Act came into effect on June 10, 2006. The FOIP Implementation Committee held several orientation sessions with appropriate faculty and staff. The web site containing UW Guidelines is available on the Secretariat’s website at:

    What does it mean for the Library?
    • Consider adding a confidentiality statement for appropriate emails
    • Shorter, factual minutes – no attribution.

Managers were asked to review the documents distributed, for discussion at the August 16 Managers meeting. Specific recommendations for the Library will be presented at the meeting.

  1. 50th Anniversary Plans
    A public launch was held June 20th. The logo was unveiled and the theme of “spirit of why not” was announced. Also announced were some details about various programs and events, and the launch of a 50th anniversary book.
