  1. Civil workplace
    Matt is proposing to bring a new program to UW called Managing Workplace Harassment and he would like the Library to be a pilot site. The course content was developed by the law firm of Hicks Morley and was recently purchased by Thomson Carswell. The course provides legal awareness and insights to deal with certain situations. To manage the workplace effectively managers need to understand the legislation and UW Policy 33 (Ethical Behaviour) http://www.adm.uwaterloo.ca/infosec/Policies/

    , mitigate employment risk, ensure that appropriate ethical behaviour is exercised, and manage workplace harassment.

    The online course consists of five modules which can be completed in approximately 45 minutes each for a total of four hours. Managers will be able to identify their unique leadership style and customize the course to that style. It is anticipated that all members of the Library Managers Group will complete the course during the summer. Catherine Fry will be administering the program and will be the main contact.

    Matt plans to meet with people who have completed the course to address any concerns, answer questions, and ensure thorough understanding. Customization of the current program should be done by end of June; at that point he will contact Sharon and distribute the passwords.

    Guidelines have been drafted and managers can distribute it to all supervisory staff. All staff at UW should be aware of what harassment is. The new Organizational and Human Development Office is developing a diversity workshop on valuing and managing staff, skills, strategies, and will hopefully include a segment where Matt talks about compliance.

    This is a pilot for the Library and the campus. Managers should think about whether the next layer of supervision needs to complete the same course or a customized version.

  2. Chair’s Remarks
    • Updates
      Brochures about the Special recognition Award Program were distributed for information. Information is also available on the web at www.staffrecognition.uwaterloo.ca

      Mark recently attended CARL and ARL Directors’ meetings and will report at the June 20 Managers meeting.

      Kathy Scardellato has accepted the position of OCUL Executive Director effective August 1, 2007. She is currently the manager of the Virtual Reference Library at Toronto Public Library.

      Tim Mark, Executive Director of CARL will retire early next year.

      Duane Webster, Executive Director of ARL is also retiring next year. Mark has been asked to be on the selection committee.

      Three people will be made honorary members of the university at the upcoming convocation. Angelo Graham will be inducted on June 13. The other two are Bruce Lumsden and Shirley Thompson.

      On Mark’s behalf, Susan recently attended a meeting of senior managers across campus to talk about workload issues. The meeting included heads of support department, chairs of academic departments, and members of the University’s Executive Council. The meeting was facilitated by Gary Waller. and discussion was centred around two questions: what does workload look like in your environment and what can we do to improve it? There was plenty of agreement that workload issues exist across campus and that steps need to be taken to address the issues. Attendees were asked to follow-up by working with others in their units to identify tasks that can be discontinued. Library Executive Committee will begin looking at what could potentially be done when they next meet; there will be further discussion at the June 20 Managers meeting.

    • Around the Table Updates
      Cataloguing – the three newest Cataloguing Associates have begun their reference/information desk training – Maria Reinhard in Porter and Zsuzsanna Lancsak and Liz Wehner in Davis.

      Musagetes –Musagetes Library staff put up a blog three weeks ago and while response has been minimal plans to renovate their seminar room has generated numerous responses.

      LAU – year end and the rollover went well. All Acquisitions budgets are in for the new fiscal. UW Work Placement student Natalie Calderon is working on ejournals until the end of August.

      UML – Richard and Eva Dodsworth are interviewing candidates for the Library Assistant position .

      Davis ISR - Anne Fullerton and Jackie Stapleton gave a joint presentation with Katherine Lithgow (CTE) at the WILU conference in Toronto.

  3. Business Arising from May 2
    The Basecamp demo was deferred to June 20.

  4. Overdue fines on ILL Loans (TUG Harmonized)
    The Circulation Managers are proposing a common approach to fines on overdue ILL materials. UG and WLU already assess fines but UW does not. They are suggesting fines of $1 per day to a maximum of $30 on overdue ILL materials.
    In recent years UW has noticed an increase in patrons returning their ILL loans after the due date, disadvantaging users at the owning Library. The proposal was approved.
