- Updates
At the September 5 Library Managers meeting it was proposed that Mark would give a brief monthly update on who had travelled recently or had received approval to travel:
- Dan Sich, Christy Sich, Bill Oldfield, and Allan recently attended Access 2007 in Victoria.
- Richard received approval to attend ICPSR, October 17-19, Ann Arbor (Inter-University Consortium for Political and Social Research: official representative meeting).
- Allan will attend the Fall general meeting of CNI, Washington, 2nd week of December.
- Sharon attended the New World of Work, which was one day of the three day The 2017 Workplace conference, October 14 - 16.
Mark attended the ARL Fall general meeting in Washington, Oct 10-11. All former directors were invited; Murray Shepherd attended. A book highlighting rare and special collections from the membership of the ARL Libraries titled Celebrating Research is available for viewing in the Library Office and ARL’s website http://www.arl.org/news/pr/celebrating-research-pub07.shtml.
The 2007 Performance Indicators Report has been released and will be discussed at the Board of Governors meeting later this month. It can be seen on the web

Pages 8, 15-16, and 36-38 are of particular relevance to the Library.
The UW Executive Committee has struck a series of task forces comprised of Exec committee members which focus on topics such as online learning, institutional data management, staff engagement, space usage and management, administrative processes, and others. The Library has been asked to provide input to several of the groups.
Ken McLaughlin’s new book, Waterloo: an illustrated History 1857-2007 was launched last night. It includes many photos of the Library.
The two meetings about TUG initiatives were well attended. Updates and details of the progress can be viewed on the web http://library2.wlu.ca/blog/tuginitiatives/.
A recent initiative of Weblinks is a series of quick polls on our website, providing links to different services that are under exposed. The quick polls have resulted in an increase in hits on the pages for these services. Allan asked Managers to let him know if there are other services they believe could benefit from a quick poll.
Sharon thanked all the Managers who participated in the OCUL survey on leadership and succession planning. There was a good response OCUL wide.
The staff workshops on team building and communication are being offered to groups of 12 – 20. Managers of small units interested in joining should contact Susan Grant of OHD to let her know; she may be aware of other small groups that could be merged for purposes of the session.
- Business Arising from September 5
#1 Around the Table Sick Usage report: Sharon has contacted all of the Managers and Linda Brogden about the 2006-2007 sick usage report. Linda does not feel the need to make contact with any staff who took 10 or more sick days at this time. Sharon and Linda will follow up in January.
Academic integrity: Chabriole Colebatch has completed a draft with questions for the Copyright FAQ but will not have the document ready for the public by mid-October as expected. The next meeting of the Copyright Roundtable is scheduled for early November.
#2 Business Arising Civil Workplace: Matt Erickson has reported that the signed contract for the Managing Workplace Harassment program went out last Friday. He will contact the person who is working on UW’s customization of the program next week and expects to be able to give us an update soon.
- Building a Case
Mary is consolidating the notes from the meetings with Tracey Bailey and will review them with LibExec. She will bring it to a future Managers meeting for discussion - identify the areas we want to work on (our priorities), how to involve staff, and how to move our fundraising along. Mark and Mary will have a meeting with the President and the Provost in mid-December.

- Porter Main Floor Renovation – draft terms of reference
Committee members reviewed the draft terms of reference. While maximizing efficiency of staff space was not initially a key goal the renovation team suggested that it be incorporated into the terms of reference. A few changes will be made before the document is distributed further.
Roger Farwell of The Walter Fedy Partnership believes that renovations can begin after exams in April 2008. Work still needs to be done (library staff, plant ops, TWFP etc) to determine timelines to ensure that the work is completed by mid August.
Renovation updates will be communicated to staff in various formats.
- Policy 29 – Smoking in front of the Library
Some students are smoking on the patio in front of the Library and staff have asked what to do about it. Policy 29 states that UW police will assist line management with enforcing the policy. LibExec has asked for guidance and will report back at a future Managers meeting.

- Articles for news @ your library
Mary asked Managers to consider ideas for future issues of news @ your library. Nancy Collins will do the research and write the articles. Items could include key issues, services, and topics that are not necessarily new but worth mentioning again. Some initial suggestions included:
- Wireless public printing
- Use of Skype
- Recent survey - we surveyed, listened, acted
- Academic integrity – refer students to RefWorks (has been covered but is worth repeating)

- Item Replacement Charges
The most recent CURIE insurance reports were received a few months ago. Based on figures in the report Circulation Managers have recommended revised valuations to Library Executive. They were approved by LibExec and will be implemented January 1, 2008. Alex will send a note to staff informing them of the change.

- Revision to Guidelines on Use of Email Confidentiality
Wording of the confidentiality disclaimer has been revised to include the clause that distribution, copying or disclosure which is not necessary and proper in the discharge of the University’s functions is prohibited. The original wording precluded anyone from forwarding another’s message. Guidelines on the use of email can be seen on the web http://www.uwaterloo.ca/privacy/

UW’s suggested confidentiality statement now reads:
"The information in this message, including any attachments, is privileged and may contain confidential information intended only for the person(s) named above. Any other distribution, copying or disclosure which is not necessary and proper in the discharge of the University's functions is strictly prohibited. If you are not the intended recipient or have received this message in error, please notify us immediately by reply email and permanently delete the original transmission from us, including any attachments, without making a copy. Thank you.”
