The April 1 Friends of the Library event was a great success.

Updates
Mark reported on the April 1Board of Governors meeting. The agenda included:
o updates on the Stratford initiative and Abu Dhabi;
o an update and approval of the Porter 2nd floor renovation;
o Linda Kieswetter gave a brief update on the campaign – over $100M has been raised;
o budget information;
o the recent name change and planned strategies of the Faculty of the Environment (from Environmental Studies).

Mark will have copies of the handouts from the Board meeting distributed to the Managers group.

Two all staff meetings have been scheduled for April 16.

The Acquisitions budget has received an increase of $350,000 to base. The increase is welcome because it should help us keep pace with inflation. It does not however, enable us to increase our purchasing.

There will be a 2% across the board cut to operating accounts. Higher cuts are a distinct possibility in the future. Many others universities are also experiencing cuts, many higher than 2%.

TUG Executive met on March 28. A draft from the TUG Annex Collections Management Group was distributed that includes a clear set of recommendations. A sub-group will meet to discuss next steps, and bring their conclusions back to the next TUG Exec meeting. The report also talks about an OCUL connection.

Brent Roe, York University will become the CARL Executive Director when Tim Mark steps down.

b) Around the Table Updates

Jennifer: Kathy Macdonald has accepted the Optometry Liaison Librarian position effective May 5. Jonathan Sutherland has accepted the Library Associate, Electronic Resources Support position effective April 14. We plan to recruit to fill his position soon. Interviews for the Physics Liaison Librarian position will occur in mid-April.

Debbie: fiscal year-end is approaching and rollover of the Acquisitions system begins at 6:00 p.m. on May 1. On May 5 & 6 Debbie will verify the rollover and enter the new budgets. A new group, TUG Verde Operations, has been established to provide a forum for staff involved in the daily maintenance of Verde to share information about how to effectively use Verde. At regular working session they will review tasks, share techniques, and where needed develop procedure and policies. Membership includes: Debbie Tytko, Jo Heimpel, Vera Starz, Charles Woods from Waterloo; Linda DaMaren, Linda Day, Paula Barton, Susan Pennings from Guelph; and Carol Stephenson, Barb Linder, and Greg Sennema from WLU.

Betty: Bethlyn Peters’ retirement prompted Betty to look at how best to structure the Cataloguing Department. After consulting with LibExec and others Bethlyn’s position and Alison Hitchens’ positions have been revised and now share the same job description: Cataloguing and Metadata Librarian. The vacant Cataloguing and Metadata Librarian position has been posted and interviews are scheduled for next week. Once the vacant position has been filled Alison and the new incumbent will each head a team of up to five Cataloguing Associates. After the Librarian position has been filled two vacant Cataloguing Associate positions will be posted. The Cataloguing Associate positions have been revised as career path positions at USG 6/7. The Cataloguing Department has taken over responsibility for map and special collections cataloguing.

Linda: Systems highest priority at present and for the next three weeks is relocation of staff and public workstations on the 2nd floor . Systems staff is working to get TIVOLI and the new backup system up and operational. Linda has been working with Allan and Richard re transitioning her duties when she leaves.

Wish has been entering OCUL stats on the website. UW is a net lender.

Michele: she is interviewing for the Library Associate position and hopes to have someone for May 1. Staff at the School of Architecture, including Musagetes staff, will have their computers upgraded in the near future. Hopefully it will solve their connection problems.

Shabiran: Porter ISR staff are moving to group study rooms on the upper floors.

Susan: directors, associate, and assistant directors of non-academic units attended a meeting where Amit Chakma talked about the status of UW’s budget and Catharine Scott spoke about the 2008-2009 salary scale. Susan will send copies of Catharine’s handout to Managers. Amit explained some of UW’s financial difficulties, and the challenges and problems with trying to get more money. He remains optimistic and stressed that UW is still able to do well with what we have.

Allan: Verde went live but there are a few outstanding items that are being worked on before the Verde Implementation Group can wind down. These include ILL permissions and public interface development. As noted above, the Verde Operators Group has been formed and will begin to take on the day to day maintenance of the system. Primo training was done the week of March 17 and the implementation is progressing well. UG and UW are moving forward on a new reserves system using Atlas Ares software.

Mary: she and Mark are working on information about the three themes of space, e-initiatives, and student engagement and who we might be able to partner with. Mark will attend the April 23 Executive Council meeting.

3. Update and Discussion with OCUL Executive Director

Kathy Scardellato – Faye sends greetings.

Kathy’s role within OCUL is responsibility for administration and the budget (allowing directors to focus on their work) and working closely with the OCUL executive and OCUL strategic committees.

By visiting each OCUL Library she hopes to gain an understanding of how each university is different from the others.

Kathy outlined the implementation of two projects funded by the Ministry of Finance under the Ontario Buys program - ODESI (Ontario Data Documentation, Extraction Service and Infrastructure Initiative) and E-Books. ODESI will provide researchers with access to a significant number of datasets in a web-based data extraction system that will be delivered through the Scholars’ Portal model. EBooks will be a system for archiving and delivering ebooks and will also be delivered via Scholars’ Portal. OCUL received two grants of $750,000 each from OntarioBuys.

The Ministry of Finance Secretariat contacted OUCL and expressed interest in funding additional projects (their mandate is to support more efficient, effective and responsive service). In a short time frame OCUL put together a proposal with a total budget of $47M; they do not expect to receive all of it. They had expressed two concerns: matching funds and sustainability. The government has reassured OCUL that they won’t be asked to match and that they would be able to provide some sustainability.

The project, Scholars Portal 20/20 has four main objectives:
• New approaches to coordinating acquisitions to library resources;
• New approaches to archiving and preserving Ontario’s digital resources;
• New approaches to organization, discovery and delivery of digital resources; and
• New approaches to support and dissemination of global digital research.
