1. Introductions around the table
Introductions were made. Laureen is the new Archivist/Librarian at Conrad Grebel College.

2. Demo of Ares Reserve System
Alex demonstrated the instructor and student portions of the Ares course reserves system. Ares provides efficiencies for students, staff and instructors.
Some issues are still being resolved. The go live target date of May 4 is unlikely to happen but it is expected that it can be released early in the spring term. In the meantime usability testing has begun. Staff appreciate the efficiencies it offers. U of Guelph went live with it in January and feedback has been positive.

3. Guidelines for Displays in the Library
Sharon reviewed the document which was distributed prior to the meeting. It addresses how the Library will handle requests to put up displays and provides guidelines to ensure requests are handled consistently. Nancy Collins is the first point of contact and can refuse or allow any display depending on whether it meets the criteria. When it is unclear if a request meets the criteria she will forward it to the ad hoc committee chaired by Mary for advice. Sharon will ask Nancy about the requests currently in the queue. Nancy will update the website to include pictures of the spaces available. The glass display cases outside Special Collections on the first floor of Porter will not be included as potential display space.

• Updates
Managers were reminded to forward any requests for travel funding to Annette by April 13. They will be reviewed as a package by LibExec on April 14. Staff who are submitting several requests should prioritize them.

The UW staff conference is on April 6 and 7 and there are still a few spots available.

Today’s Daily Bulletin notes a free public lecture this afternoon in the Lyle Hallman Institute for Health Promotion. Linda Duxbury will be speaking about her research relating to work and life balance.

The TUG Initiatives and TUG Primo Implementation groups held a contest to name Primo and have made a recommendation to continue calling it Primo. TUG Exec (Mark, Helen Salmon, and Sharon Brown) met on March 25 and approved the recommendation. Website changes and promotional literature will be rolled out this summer. An announcement will be sent to the TUG community once it has been confirmed that Ex Libris has no concerns. Primo will become the primary interface with Trellis still running in the background. The TUG Primo Implementation team will prepare a timeline on the rollout for the next TUG Exec meeting and then the front line people will be informed. Allan commended the Primo Implementation team for their work on this project.

Charles Woods and Alison Hitchens will give a demo on Primo at the IST weekly talk on April 3.

5. Business Arising from March 18
#1 Updates: Senate Finance Committee – Senate approved the 3% across the board cut to operating budgets. Final approval still needs to be made at the April 7 Board of Governors meeting. The campus is being advised that a cut of at least 5% is expected in fiscal 2010-11.

6. Around the Table Updates
Allan
Ryerson is doing a survey of SFX. Allan feels that it is important to provide some feedback so he will send them an email about it.

Debbie
TUG Acquisitions Group is meeting today to perform some of the pre fiscal close tasks required for fiscal rollover May 1st.

Helena
A Web 2.0 training program, sponsored by the ISR training committee is taking place over the next four weeks. It includes five online modules and is designed to train information desk staff in the use of these tools.

Tim Ireland was contacted by Marta Bailey, CTE Administrative Assistant who was soliciting comments and guidance about increasing security in the flex lab. Eric will work with Marta.

Betty
Betty has received some questions about electronic resources that we’re loading and the best way for students to access then. A list is being created for desk staff on how to access these e resources (the person who loaded it will be responsible for writing the information).

Sharon
The Civil Workplace sessions are finished. Managers were asked to send feedback to Sharon by the end of the week; she will consolidate the comments and send to Matt Erickson.

Jennifer
The exam study zone started on Monday and there has been lots of feedback. It is measurably quieter in Davis.

Michele
Michele has been speaking wish Alex McCulloch in the past week about a growing issue that is unique to the School of Architecture. They would like to appeal to the TUG bodies that drew up the loan policy and ask that Musagetes materials be limited to only two renewals instead of unlimited renewals. Grad students have been hoarding books for years; this causes major issues, primarily for undergrads. Michele has full faculty support for the change. She will work through UW Circulation, and then TUG Circulation to change the policy.

Mark
Mark reported on the Provost’s budget update. Although no universities are in good shape, comparatively, UW is not in bad shape.
• When UW started modelling cuts in November it was originally thought it would be a 5% cut.
• UW entered the current fiscal year with a small structural deficit; there will be no structural deficit going into the new fiscal. Some institutions have deficits into the millions.
There was a recommendation at a recent Pension & Benefits meeting to address the anticipated pension shortfall, although it’s still unclear what 2010 will bring and what effect it would have on the pension fund. The Provost indicated there would be no layoffs as a result of budget cuts. There are no plans at UW for a special early retirement program.

7. Engine
Allan gave an Engine demo.
