3. Pandemic Planning
The committee reviewed work to date on departmental plans. Managers were asked to:
• identify critical services within their units,
• identify interrelationships with other units and contact the department heads of those units,
• draw up a list of primary contacts in their unit,
• send a copy of their latest version to the other Managers by the end of the week,
• read each other’s pandemic plans to determine if there are things that may impact their own areas that have not yet been identified.

LibExec will review all of the pandemic plans next week. In the event of a pandemic, an emergency response team consisting of LibExec, Annette Dandyk and Carolyn Vincent will be established. The team will:
• meet daily (either face to face or virtually),
• touch base with managers for daily assessment,
• communicate with staff daily via email and/or staff web (if only to report status unchanged),
• maintain a list of contacts.

The Library will follow the direction and guidance of the University Pandemic Planning Committee. http://www.secretariat.uwaterloo.ca/UWPandemicPlan.pdf

Action: all Managers will send their pandemic plans to the rest of the group

4. The Sixth Decade Plan
Feridun Hamdullahpur, Provost, has requested a summary from each academic support department head describing what they do and how it relates to the 6th decade plan by October 21. Tying in with the three overarching themes of space, e-initiatives, and enhancing student experience, Mark’s report will include significant accomplishments over the last few years, current priorities, and some of the Library’s challenges.

5. Around the Table updates
Health Services is looking to move some of their education programs out of their building for 3-4 months during the flu season and inquired about the possibility of moving these programs into the Library temporarily. The Library has identified room 512A and the former EDS office on the 5th floor of Porter as spaces that could accommodate their request. The vacated space in Health Services would be reallocated as examination rooms during a pandemic.

Alex
Scholars Portal RACER staff in Toronto are doing a pilot with universities in Australia using VDX. They are experimenting with the two VDX systems sending requests directly to each other. Currently we typically receive Australian requests via OCLC.

Mary
October 15 is UW day at IBM. We’ve put together a video that showcases students using IBM equipment. The event will provide a good opportunity for Mark and Mary to network with IBM.

October 28 has been designated Library day, and will be used as an opportunity to highlight what is happening in the library.

The launch of John English’s book Just Watch Me is scheduled for November 11 at Fed Hall, and is sponsored jointly by the Library, the Bookstore, CIC (Canadian International Council), and the Faculty of Arts.

Jennifer
OCUL is beginning discussions with Springer about a 2010 Ebooks purchase. For the first time since we began purchasing Spring Ebooks, OCUL institutions have been sent figures comparing use across Ontario.

Michele
Musagetes held its 2nd annual open house during the last week of September. It was very successful.

Susan R
Justin Williams, VP Education, Federation of Students is working with the Faculty Association to encourage faculty to think of alternatives to requiring students to purchase the latest editions of textbooks. . Some ways this could be achieved:
o If there is not a big difference in content between new and old editions, professors continue to use the old edition;
o The Library has a wealth of information that could be used.

Justin met with Susan and a rep from the bookstore. Nancy Collins will prepare an explanation about resources available in the library for Justin to use in his discussion with faculty, and on a web site that he is preparing.

Next meeting: October 21
