1. Chair’s Remarks

December anniversary

• Updates
Mark has met twice with Feridun Hamdullahpur, the new Provost. The Provost hopes to visit the Library early in the New Year to meet the staff.

2. Business Arising from November 4
The new staff luncheon was a success and Managers continue to think it’s a good idea.

3. Remembrance Day
Various forms of acknowledgement have occurred over the years. There are Remembrance Day services on campus, but it is believed that there is no campus wide guideline about what to do. This year, staff at the Circulation desks and Porter Information desk stepped back from the desks and suspended service for two minutes. Managers discussed options for how to handle Remembrance Day in a consistent manner in the future. Generally, Managers supported observing the two minutes of silence, and guidelines will be drafted so that all public service desks are doing the same thing, pending Mark’s discussion with Bruce Mitchell. It will need to be well communicated in a variety of ways such as signage, chimes, and flashing the lights.

What is done in staff areas is up to the managers and staff in that area. If meetings are scheduled at that time, observing the two minutes would be at the discretion of the Chair.

4. Porter Signage Project
Sharon gave an update on a signage project underway in Porter. Over the past decade several committees have recommended improved signage throughout Porter. The Associate Provost has made some funds available, to be used in this fiscal, that will fund some portion of it. Sharon and Alex are working with d3impact and Plant Operations to determine what could be done.

5. Staffing Update
Circulation Services currently has five unfilled positions. Mission critical funding has been approved for one position. The vacant Lending Supervisor position is being revised and will be posted in January.

6. Around the Table Updates
Jennifer
Scholars Portal day is Friday, December 11. The theme is Weaving Scholars Portal into the teaching and learning tapestry. Anyone not going but who is interested can participate remotely. Scholars Portal will also be posting the recorded presentations and PowerPoint files to the SPOT DOCS wiki next week.

Debbie
Debbie, Allan, Charles Woods, Jonathan Sutherland, and Gail Sperling will attend the December 10 OCUL meeting for the ExLibris talk about the Verde product. Serials Solution gave a presentation last month.

Sharon
Incremental funding is again available for hiring co-op students for the Winter term, especially for those in their first work term. Applications will be accepted on a first-come first-served basis, and funding across campus is limited. Library Office will provide the Library share of funds required. Managers who are interested should complete the form and develop a job description. They should copy Sharon and Annette when submitting their applications.

Susan M
The National Archival Appraisal Board was in Special Collections last week to appraise archival donations from the past year.

Alex
Adrian Kemp has created software, called LibWork, which streamlines the casual staff application process and also replaces an access database that Circ Services uses. Alex will arrange a demo for Richard, Betty, and Michele.

Allan
The current library web server is on an old Sun machine that is due to be retired. Systems is making the switch to a new Linux server early in the morning on Friday, December 11.

The Voyager upgrade will begin at 6:00 pm on Tuesday, December 15 and is expected to be fully operational by December 21.

The OCUL Primo Award was given out at the recent Directors meeting. A photo op with the Primo Implementation team is scheduled for this afternoon.

The web redesign RFP was awarded last week to White Whale. Once details have been worked out, the committee will begin to develop a communication plan for the campus. It is hoped that it will be implemented by September.

Annie
LibGuides – the working group has delivered training to staff in ISR, Musagetes and the Map Library. They are just finalizing the custom domain and then will be ready to purchase it.
