1. Around the Table Updates
Alex
Circulation Services staff have been testing a Viewscan Microfilm scanner. They experienced some hardware issues because it came with beta software. New software is expected to arrive by the end of this month, and the trial period has been extended to 30 days from when the software arrives. Systems staff have confirmed that the scanner will work with our network printing environment.

CISTI got out of the document delivery business earlier this year and has contracted with a US company called Infotrieve. Questions that we had about what this new service would look like have been resolved, and we’ve replaced CISTI with Infotrieve as the location in Racer. If no match is found within TUG and OCUL, Racer will look at Infotrieve.

The Provost and Associate Provost have approved a mission critical form to fill the Manager, Lending Services position which will become vacant September 1. Alex is revising the job description, and hopes to have it posted at the end of June with interviews in July.

Annie
From OCUL IR - Knowledge Ontario funding news has come through. Two people from Carlton and York are the OCUL IR reps. They are looking at the impact of the news, which was not positive. There was a question at OCUL IR about how we would fund some of those materials. Kathy Scardellato may be talking to OCUL directors about this matter.

Publishers have been cancelling many Ontario dailies. This impacts our Cedrom-Sni subscription; however this is not impacting the French material.

Open Text is collaborating with librarian and student volunteers from a number of institutions in a project called G20Net, a social media site. The Librarian volunteers are from Waterloo, Western, and Toronto as well as from FIMS at Western; and Annie is also trying to get someone from Dalhousie, Memorial, UNB, UA and UBC. Annie is coordinating the librarian volunteers for Phase 1, Content Harvest, and Phase 2, the Ask a Librarian Service. UW librarians will be heavily involved throughout the project. Annie is also developing a service model and will report back to CIGI and Open Text.

Betty
From the OCUL IR meeting: new vendors are being asked to supply us sample MARC records as part of the negotiations. Four files have been posted in the wiki for review prior to purchasing. If the records are of poor quality vendors will be asked to update them according to OCUL specifications. Quality of MARC records will not be a deal breaker. However we may get better records and if not, we will have an idea of the work required to update them in advance of purchase.

To prepare for the Primo 3 upgrade, the Voyager software needs to be upgraded as well. The prototyping group is currently testing the new software.

Allan
TOMG (TRELLIS Operational Management Group) recommends doing the Voyager upgrade beginning at 6:00 p.m. on Wednesday June 23. The upgrade is expected to take approximately 4 hours.

Adam Patterson, who has been programming for us for the past few years, will be leaving at the end of June.

2. LibQual Update
Annie presented some quick facts about the LibQual lite survey that was carried out in March. The survey was sent to 50% of undergrads randomly within their faculty as well as all grads, all faculty members, a sample of UW staff, and all library staff. Of 1,377 survey views, 861 were completed, and of those 789 were valid. Annie will analyze the hundreds of comments that were received.

• Recognition and Commendation
Three staff celebrating their 5 year anniversaries were missed at the June 19 staff recognition lunch. They will be included in next year’s event.

• Updates
The 6th decade report recommends 2% across the board cuts and reallocating those funds every year. The Library used the funds from three vacant positions to meet this year’s budget reduction of $166,000.

The Library Acquisitions budget has always been exempt from any cuts. The Acquisitions budget received a $500,000 increase to base this year.

In light of Mark’s role in the CARL Public Policy Committee and previously with AUCC, he has been involved in the Access Copyright license renewal.

A new copyright bill (C-32) has been tabled.

Mark is a member of the OCUL Strategic Planning committee and the work of the group continues. He is now the Chair of the OCUL Cost Share Committee.

4. Business Arising from June 2
#4 Flextime: Approximately 45 people attended the meeting on June 9. The second meeting is scheduled for June 17. Generally, comments have been positive.

5. Workplace Violence Program and Testing
All staff should have received the message from the Safety Office announcing an amendment to the provincial Occupational Health and Safety Act (Bill 168) about workplace violence and workplace harassment which came into effect on June 15. A campus workplace violence program has been developed, including the violence risk assessment survey from last year. http://www.safetyoffice.uwaterloo.ca/hse/workplace_violence/violence_index.htm

An online training course with respect to violence and harassment is forthcoming.
