Sincere thanks to Alison Hitchens and the rest of the Primo Implementation Team for the highly successful upgrade to Primo 3. We’ve already received positive feedback from users.

• Updates
Access copyright License
The current access copyright license has been extended to the end of this calendar year. An ad hoc campus group consisting of Mark, Bud Walker, May Yan, Lois Claxton, Feridun Hamdullahpur, and Bruce Mitchell have been meeting to look at uWaterloo’s options – whether to continue to have a license or not. In either case uWaterloo strongly supports it. Another meeting is scheduled for late September/early October.

The CARL Board on Public Policy is developing a workshop around the broad issue of copyright for the October Directors meeting.

Access Copyright intends to begin collecting a tariff effective January 1, 2011. Under the old licensing system (for paper copies only), universities pay $3.38 per full time equivalent student, as well as 10 cents per page for course pack copying. The proposed new licensing system would impose a tariff on print and digital works - institutions would be charged an all-in-one fee of $45 per FTE student. Susan Mavor is the uWaterloo Access Copyright Administrator. Bruce Mitchell signs the license on our behalf. Sandra Keys has been asked to Chair the OCUL DINO Group for two years.

The OCUL Strategic Planning group is making progress and has been receiving feedback.

2. Business Arising from July 14

3. Around the Table Updates
Jennifer
Managers discussed a proposed pilot to change Davis Information Desk hours for Fall 2010 and possibly Winter 2011:
• Discontinue Sunday Information Desk service.
• Move to an on-call reference service from 4:00 – 7:00 p.m. Monday through Thursday.

Justification:
• Statistics from 2009/2010 show that there are few reference questions on Sundays and after 4:00 p.m.
• Additional demands on Librarians’ time.
• Many other institutions have moved to a model where Librarians are off the desk; other staff provide basic reference, technical, directional and circulation service.
• Stats will be taken and assessed in December to determine whether to continue through the Winter term.

Managers agreed that the pilot should proceed.

Betty
Colin Fitzsimons, U of Western Ontario intern, began an eight month co-op placement in the Cataloguing department on August 23rd.

Alex
The Print from Web pilot has taken place, but was not very successful. Next step: a second pilot from Relais and/or Scholars Portal to get the software working the way it should. It’s unlikely that we will be able to offer Print from Web in the fall term.

Circulation Managers are developing a plan for the future, now that the Manager, Lending Services position has been filled.

It is anticipated that d3 Impact will be able to finish the floor directories for at least the first few floors in Porter in very near future.

Sharon
We had always understood that people hired on four month contracts automatically received 4% vacation pay and did not have the option of taking vacation days. We learned recently that they do in fact have the option of taking three vacation days instead of 4% vacation pay.

The front doors in Porter will likely reopen next week (after Labour Day).

4. Proposal to Reduce Watcard support at Circulation
Managers discussed a proposal from Circulation Services:
• All additions to Watcards by credit and debit cards would become self-serve, effective September 13/10 or as soon as two dedicated workstations can be set up in Porter and Davis to educate patrons away from the reliance on circulation desks.
• The workstations would be removed at the end of the winter term.
• Circulation staff will continue to add money to Watcards using cash.

Justification:
• Students have been able to add money to their Watcards online using their credit cards for at least two years. In September they will also be able to add money to Watcard online using debit cards as long as they bank at one of RBC, BNS, BMO, or TD-Canada Trust.
• It is not an effective use staff time to add money to Watcards in cases where patrons can easily add it themselves.
• Statistics show that the number of transactions performed to add money to Watcards is significantly higher than the number of transactions for fines and other payments. Slightly higher than half of the Watcard transactions are by debit or credit card.

Managers approved the proposal. Alex will investigate the implications for Graphics and Food Services.

5. Allan’s Departure
The group reviewed a list of projects/activities that Allan has been involved in. Next steps: identify actions to take immediately; make interim decisions; and make decisions about mid to long term directions.
