Mark introduced Liz Koblyk, UW’s new Staff Career Advisor. http://www.bulletin.uwaterloo.ca/2010/jan/13we.htmlWhen the former Special Recognition Award program was discontinued, the funds ($250,000) were reallocated for a new program named Staff Excellence Fund. http://www.bulletin.uwaterloo.ca/2009/aug/31mo.html
The program has five components:
• High-quality speakers (coordinated by OHD)
• Service Recognition
• Special Initiatives Fund
• A onetime contribution to campus child care facilities from accumulated funds
• Staff Career AdvisorThe Staff Career Advisor position operates out of Career Services and complements what is done by OHD (Office of Organizational and Human Development). Liz spoke briefly about the services she offers, primarily to help staff set and work towards career goals. They include:
• Individual support and custom workshops for departments
• Resume writing; interview skills and performance appraisal feedback (selling your skills); looking at career goals; career planning and development; Myers Briggs assessments to identify where strengths and weaknesses lie; networking; job search strategies
• Appointments can be scheduled during regular hours, during lunch hour, evenings, and soon on weekends
• Services are completely confidential (i.e. your participation is not passed on to your department or HR. You do not need permission from your manager to participate.)
• A small staff resource area with materials that may be signed out

Mark reported on the February 2nd Board of Governors meeting:
o Ken Coates, Dean of Arts will not renew when his term ends in 2011;
o The proposed budget for 2010/2011 is expected to be tabled in April;
o Enrolment figures are down. It’s still unclear how tuition will be handled by the province next year and what kind of funding will be coming. LibExec has been providing budget information about the Acquisitions and Operating budgets to Bruce Mitchell in the past couple of weeks.Mark’s January 18 presentation to Senate can be viewed from his home page. http://www.lib.uwaterloo.ca/haslett/presentations.htm
TUG Executive is scheduled to meet on February 22 to review year to date expenditures for project initiatives, and to look at budget projections for the next fiscal year.
Jacob Glick, Google’s Canada Policy Counsel will give a presentation on “The Unified Theory of Everything (in Communications Policy)” in the Humanities Theatre this afternoon.

#3 Remembrance Day: Mark will discuss with Bruce Mitchell when they meet tomorrow.4. Student Endowments – project ideas
The winter deadline for student endowment applications is approaching. Mangers were asked to think about potential projects and to forward their ideas to Mary or Cheryl. All of the faculties’ student endowments have supported the Library in one way or another over the years, usually for projects under $10,000. Mostly, they support resources, although the Arts student endowment provided funds to purchase study carrels, and the Math student endowment supported the purchase of study carrels and chairs. The Student Life Endowment, managed by the Federation of Students has also given in the past, typically for projects that enhance accessibility, such as elevator signage and range ends. [Secretary’s note: the Student Life Endowment will not be dispersing funds this year.]Mary distributed copies of the Library’s ‘brag sheet’, part of a series of brag sheets created by the Development Office highlighting the faculties and some service departments. It was created primarily for our external audience (alumni, donors, potential donors) to provide a sense that we’re busy, active, and serving the needs of students and researchers. The brag sheet will be sent out in place of the update report this year.
5. SFX and Racer
While some OCUL Libraries enabled Racer in their SFX menus two years ago, UW did not because some schools reported that it increased requests by 30%. We recently learned that schools that have turned it on in the past 16 months have experienced an average increase in requests of 5-10%. Schools that haven’t turned it on, including UW, have experienced an overall decline in requests, such that it will now be possible to turn it on for UW.
Alex will send an example of how this looks in Pub Med. Managers had no concerns at this time although they may have questions after seeing the example. Barring any concerns, Circulation will work with Doug Morton to make this possible.

The Library will participate in ARL’s MINES survey, anticipated to begin next week and run for a full year. Every 250th user will receive the survey, which is voluntary for users. An example can be seen on the scholars portal website http://drupal.scholarsportal.info/limesurvey/index.php?sid=47248
Annie is working with Nancy Collins on a communication plan.LibQUAL
The LibQUAL survey started January 15 and runs until April 30, 2010. UW will run it for the month of March. We will participate in the lite version which will take 6-7 minutes instead of 15. We will sample 50% of undergrads randomly within their faculty, and 100% of grads and faculty members. Annie is working with Nancy Collins on a communications and marketing plan, and is also developing a brown bag session for staff.7. Around the Table Updates

Jennifer Domise has been hired as this term’s Elsevier student ambassador. She is spreading the word about Engineering Village (an Elsevier search interface that we use for Compendex, INSPEC, GeoRef, GeoBase and Referex e-books) and SCOPUS, and is working with the liaison librarians on instructional sessions.OCUL IR has wrapped up the Springer e-book purchase, Waterloo has been invoiced for our share and this invoice has been paid. Records for the 2010 Springer e-books will be added to the catalogue as they become available
Sharon
Performance appraisals – this year, the signature section of the form is being modified. Sharon will inform Managers once the new form is available. In the meantime keep using the form that’s available on the HR web site. New procedure this year: Managers/Supervisors considering assigning a rating of 2.5 or less should speak to their Staff Relations coordinator (Rochelle Davies) after discussing it with Sharon.
Betty
A last copy in TUG withdrawal bulletin will be released this week. The books are located primarily in Porter, with a few in the Annex. Many of the withdrawn items will go to the Used Book store.Christina Zoricic has accepted the 8 month Cataloguing Associate co-op position. It is expected that she will begin working on one of the Info desks next term.
Alison Hitchens recently returned from an ExLibris funded trip to Israel where she helped test the next version of Primo.Alex
The Porter Signage committee is moving full steam ahead and recently signed off on some of the signage to go beside the elevators on all floors.CISTI got out of doc delivery business last year and has contracted with a company called Infotrieve to provide these services. Wish, Jennifer, Annie and Alex have been acquiring information about Infotrieve in order to make a recommendation about which parts of their services we might want.
Interviews for the Circulation Services Supervisor position are scheduled for later this week and early next.

LibGuides training had been completed and Librarians and ISR staff have begun using it. Feedback from students has been positive to date.The Screencast Working group had a ‘breaking down the silos’ meeting. Feedback has been positive, and they have received interest from CEL (Centre for Extended Learning) and CTE about best practices.
Allan
The company chosen for the campus web redesign, White Whale, visited the campus the third week of January. A contact group is being developed.After consideration and training with Open Text, the Web Content Management System group has decided that drupal is a better fit for the University of Waterloo.
There will be an OCUL environmental scan. Allan asked managers to forward him any comments about the ebook platform or any comments or issues about OCUL in general.
