1. Chair’s Remarks

Mark welcomed Wish Leonard.

• Updates
Closing of UML – next steps:
UML closed this past weekend. The move to Porter will occur over the next two weeks. Mark acknowledged and thanked Annie, Eva Dodsworth, Jon Morgan, Ksenia Bronicki, Steve Xu, Carl Nagel, Ann Naese, and the Cataloguing department for their efforts in organizing the project in a very tight time frame.

Pharmacy Librarian:
The Library received a new position and funding for a Liaison Librarian, Pharmacy. The position was posted today. The School of Pharmacy will manage the Resource Centre.

AUCC and Access Copyright:
AUCC and Access Copyright have come to an agreement on a model licence for the higher education sector. The university is considering next steps.

Development Update:
Some representatives from 3M were on campus last week for the launch of the Waterloo Periodic Table. It presented another opportunity for the Library to highlight the benefits of the inventory and security system.

With the launch of the new School of Public Health, there will be visitors from RBC. There may be an opportunity to provide them with a brief tour of the RBC Info Commons in Davis.

Ober Study Rooms:
The grand opening of the Warren and Mary Ober 10th floor group study rooms is scheduled for April 25. Mark expressed his thanks to all of the people involved in construction of the room and planning the opening.

New VP Academic and Provost:
Sallie Ann Keller, the new Vice President Academic and Provost begins May 1, 2012.

2. Business Arising from March 21
There was no business arising.

3. Library Review - Update
Committee members heard a brief update of work to date. The groups are working towards having the interim reports completed by April 30. Final reports will be submitted May 18. Mark expressed his thanks to the working groups, the Data Group, Communications, administrative help, and the Managers who have been supportive of staff engaged in this process.

A subcommittee of the Staff Relations committee has been created to review and renew the Staff Employment Policy (Policy 18). Managers are encouraged to support and to encourage staff to participate as opportunities arise.

4. Library Website Redesign - Update
Annie provided an update of the committee’s work to date. The timeline has been extended because of the many other projects currently underway.
• Campus Drupal implementation has been rolling out quickly. A sandbox has been set up for the Library for developers to play in. Steve Weber and Graham Faulkner have been looking at key functionality by having set up the central implementation profile on a Library server. The campus preference to date is to have us joined through the central implementation profile.
• Website assessment: committee members have been analyzing quantitative and qualitative data from the surveys. WebOps is hoping to host a Data Day with a focus for Library staff (focus on usability, user needs, task base testing etc). A Drupal Day will also be organized.
• Timeline: it is anticipated that the data analysis will be completed by June, an implementation structure in Drupal by next spring, and live by September 2013.
• Three training courses: WebOps has proposed partnering with CPA and IST to tailor the training to the Library environment and ensure that our web developers have core competencies. Managers agreed that these would be a good set of core competencies.
• Courses would include:
o Writing for the Web
o Effective Web Content Planning
o Intro to Web Accessibility

5. AODA Information & Communications Standards – Impacts on Training Needs
Annie provided an update on the Standards. Information & Communications Standards is part of the new Integrated Accessibility Standard. The Standards came into effect January 2012, with differing deadlines for different sections and different employer categories. Large public sector organizations must make their internet websites and web content conform to WCAG 2.0, initially at Level A and increasing to Level AA. By January 1, 2014 new internet websites and web content on those sites must conform with WCAG 2.0 Level A. By January 1, 2021 all internet websites and web content must conform with WCAG 2.0 Level AA, with a few exceptions.
As well, organizations should provide educators with accessibility awareness training related to accessible program or course delivery and instruction.

There may be a need to provide training in Word, PowerPoint and PDF to ensure that people are familiar with web accessible formatting, content in plain language, online forms, and alternate text. It is recommended that “Workshop Developer” training be developed.

6. Congress 2012 Planning - Update
Nancy provided an update on plans for the Library’s participation in Congress:
• digital display being planned for Porter
• Congress kiosk at the Porter Info Desk
• ‘welcome delegates’ banner on our home web site
• Congress site providing useful information about Congress, local highlights, etc
• all printing will be directed to Media.doc
• small publication will provide a welcome from Mark and point out things to see in the Library
• cart of popular reading books for their leisure time.
• all promotion material/signage will have similar look and feel.
• ‘big thinkers’ book display on the new book shelf
• Special Collections will have a display of highlights of the collection
• virtual art display

7. Around the Table Updates
Alex
Ares is being upgraded Monday, April 23, and expected to be down approx. 30 minutes.

Betty
Cataloguing staff are working with items coming to Porter from UML. Spine labels on the books will be replaced over time.

Christina Zoricic’s contract ends April 30, and will not be extended because she has accepted a permanent job elsewhere. Meredith Fischer will return May 1.

Annie
UML move: most of collection has already moved. Annie expressed appreciation for Ann Naese’s efforts in achieving this. It is expected that the horizontal map cabinets will be moved today, and staff will move next week. We’re still on target for a May 1 opening of the GeoSpatial Centre.

Weeding update: Porter ISR staff are still working to remove superseded duplicates.

Debbie
Acquisitions is in the final week of paying invoices. The books will close on fiscal 2011/12 next Thursday, and the system will be down all day. Debbie will send a message when the budgets are in place and the system is back up. Wish and Debbie will work on setting the budget next week.

Sharon
The Ontario Work Study (OWS) program has been cancelled for the Fall and Winter terms. Circ Services is the only department that regularly uses this program. Sharon and Alex will discuss the implications.

Pascal
Susan, Sharon and Pascal attended AUL day April 13 at York University. The theme was assessment, and one of the most interesting presentations was from the Head of York’s Institutional Analysis and Research, who was a good advocate for libraries working with their counterparts to answer strategic questions that we all have.

Three more Playbooks have been purchased. Let Pascal know if you have interest in using a mobile device for a project.

Systems has purchased a trouble ticketing system. The goal is to make reported problems more transparent, allow them to track problems, and extend the availability of reporting problems (currently telephone help desk hours are 8:00 am to 4:00 pm and no after-hours and weekend help). The system will also provide some metrics on the requests. Systems staff have been using it within the department and will test it with Davis ISR.
