University of Waterloo
Library Managers, Sept 19, 2012
9:30 a.m., LIB 428

Present: Annie Bélanger, Nancy Collins, Betty Graf, Jennifer Haas, Sharon Lamont, Wish Leonard, Susan Mavor, Alex McCulloch, Carl Nagel, Susan Routliffe (Chair), Annette Dandyk (Recorder)

Regrets: Pascal Calarco, Mark Haslett, Michele Laing

1. Staffing Update
Sharon and Pascal have had discussions with HR about filling the vacant Facilities Head position. Carl Nagel’s temporary arrangement managing the Facilities unit will become permanent. He will provide leadership for the areas of facilities and systems technology.

The two contract positions in the current Systems unit have been renewed for another year.

Managers had no concerns. Mark will send a staffing update next week.

2. 6th floor Update
Construction of the study room is scheduled to begin October 1. The opening is slated for December 17.

3. Requests to Enroll in a Course
Occasionally, managers receive requests to enroll in a course for events that staff didn’t know about at the annual call for funding requests for staff training and development. To make the process timelier, if the manager supports it and the registration is low (under $200) the manager’s LibExec contact can approve it without bringing it forward at a LibExec meeting.

4. Changes to Policy 18
The Secretariat is soliciting feedback to the proposed revisions to Policy 18, which was distributed campus wide. As well, a meeting has been scheduled for Tuesday, September 25.

Susan led the extensive discussion, and Sharon will provide feedback to Karen Jack of the Secretariat.

5. Around the Table Updates
Carl
Carl may give an update on the Primo upgrade and some of the features at the upcoming FACCUS meeting. The FACulty Computing User Support group is a resource group for staff providing user support in the faculties, IST and the Library that meets once per term.

Alex
Circulation and Porter ISR will share a 105 hour placement from the Mohawk Library Technician program.

Web Governance Framework proposal: WebOps has discussed the consultation plan, and specifically the proposals to move forward with training for our web developers, and an open house to explain the new governance framework. Alex will forward the document to Managers.
Action: Alex, Annie

Nancy
A group photo shoot of all permanent Library staff is scheduled for Tuesday, October 23, 1:00 p.m., on the Porter front steps.

Susan R
Copyright update: Susan is getting more information about images, and will update the FAQ. Microsoft pictures and images are royalty free and therefore people are at liberty to use them. Under the Fair Dealing act, people are only legally required to cite them if doing it as a form of review or criticism. There was a suggestion that staff would benefit from some training in this area.

Next meeting: October 3
