Library Managers

University of Waterloo
Library Managers, July 12, 2017

Present: Melanie Hannaford (Recorder), Alison Hitchens, Sharon Lamont (Chair), Kathy MacDonald, Alex McCulloch, Nick Richbell, Adam Savage

Regrets: Betty Graf, Jennifer Haas, Ian Robson

1. Business Arising
Managers had a follow-up discussion on Performance Calibration, reflecting on ways to be more consistent in our performance appraisal practices.

Action: Sharon will develop a plan to review with managers.

2. Reno Update
Alex updated Managers on the status of the reno after having a construction meeting on Monday. Things are moving along well, and there is a conference call set up for Thursday to discuss further details on the schedule.

3. Outlook Room Booking Demo
Adam presented a demo of the Outlook Room Booking system as a means of managing staff conference rooms bookings. The Library is exploring transitioning to this system. With the number of bookable meetings rooms post-renovation, it should be more efficient than our current system. Managers articulated a number of questions.

Action: Adam will continue to work on a plan with Sharon to explore this possible transition.

4. Recruitment
Sharon updated Managers on the status of ongoing permanent and temporary recruits.

5. University and External Committee Membership
As part of Beth Namachchivaya’s onboarding, Alison has started gathering a list of known university and external committees with library representation. The list will be uploaded to the Managers SharePoint site, for Managers to populate.

6. Supporting a faculty grant
The Library has been approached by Faculty members about being involved in a grant collaboration. Managers discussed ways in which the Library could support the grant.

7. SharePoint home page
Managers reviewed the Library’s SharePoint home page to determine if any committees, groups or projects can be moved to archived status, as there are only a limited number of spaces available for display. These archived pages can still be accessed, but won’t display on the home page.

Action: Managers are asked to send Alison a list of anything that can be archived.

8. Around the Table
Circulation anticipates participating in the EDGE program for UW Students who are working on campus but are not in co-op. EDGE is a new experiential education certificate program, which gives non-co-operative Waterloo students an opportunity to develop key professional skills, explore career options and market themselves to employers. Managers are asked to contact Alex if they are interested in being involved in an upcoming meeting.

• Melanie will put a hold in Managers calendars for the fall Library Update meeting which is scheduled for October 23.
• Procedural changes are planned for the fall on how HR handles the recruitment of contracts. Further details will be provided as we receive them.
• 2017 work from home statistics for permanent staff reflect that there are half as many as in 2016. Currently 4 staff in 3 departments have work from home arrangements, 3 of whom are working 1 day per week from home and one of whom is working 2 days per week from home.

Next meeting: July 26, 2017
