University of Waterloo
Library Managers, August 23, 2017

Present: Betty Graf, Jennifer Haas, Melanie Hannaford (Recorder), Alison Hitchens, Sharon Lamont, Kathy MacDonald, Alex McCulloch, Beth Namachchivaya (Chair), Nick Richbell, Adam Savage

Regrets: Ian Robson

1. Business Arising
Beth reviewed a document she received from the Office of the Provost, which summarized the overall office structure, Provost’s direct reports and office metrics.

2. Recognition and Commendation
Staff Anniversaries were acknowledged:
September 10 – Nancy Collins, Porter ISR, 10 Years

3. Recruitment
Sharon indicated that so far this year, we’ve filled 6 permanent positions with 3 recruits still currently active:
• Head, Metadata & Cataloguing Services
• Liaison Librarian
• User Experience Specialist

The Digital Repositories Librarian position will be posted shortly. Plans are in progress for some further recruits in the fall.

4. Reno Update
Adam provided a brief update on the reno, noting that the construction project has gone out for the bid, with the bidding process closing August 24, 2017.

5. MAP3 Planning
In planning for the MAP3 retreat in October, Managers discussed who should be in attendance to ensure all departments are represented. Kathy will compile a list of the participants who we already know will be included, and then a call for expressions of interest will be sent out.

In a future Managers meeting, Managers will work through the mandated/strategic choices to prepare for the retreat.

6. Library Health, Safety and Wellness Committee updateSharon attended the Library Health, Safety and Wellness Committee half day retreat to review the plan for the next year. They anticipate becoming more active in the coming year, and will undertake the Job Hazard Analysis review, which was identified as part of the Safety Office audit.

7. Around the Table
Alison attended an OCUL-CF directors' meeting in August. Directors reviewed the vision and priorities, learned the membership of the OCUL-CF implementation working groups, and met the procurement officer, Patrick Foré from the University of Ottawa. There is TUG representation on several committees. Rebecca Graham (UG) is chairing the Steering Committee, Alison (UW) is on the Requirements and Evaluation Working Group, and Scott Gillies (WLU) and Doug Horne (UG) are on the Shared Policy Working Group. The Steering Committee is discussing how to populate the Advisory Network.

The TUG Steering Committee is meeting shortly to plan a TUG Day for the various TUG committees working on OCUL-CF preparations.

Jennifer provided a brief TUG IR update.

We are looking towards the next 4 months, and determining how to continue the 60th Anniversary celebrations. In addition to the University of Waterloo’s 60th Anniversary, Sharon noted that the Davis Library opened 30 years ago in September, and the Dana Porter Library was renamed 50 years ago in October. We are planning to do a staff photo on Library Day (October 16), and we may incorporate the anniversary into the October United Way campaign. We also plan on making our Holiday Celebration a special 60th Anniversary celebration.

A reminder that Doors Open Waterloo Region is being held on Sept 16. Ken McLaughlin will be giving a talk about the history of the University of Waterloo in the Flex Lab at 1:00pm.

We anticipate a formal ask coming to bring the Waterloo Aboriginal Education Centre’s collection into ours.

Starting tomorrow, Beth’s introductory meetings with each of the departments begin. In addition, Beth is planning on visiting all the Library locations.

Next meeting: September 13, 2017
