University of Waterloo
Library Managers, September 27, 2017

Present: Betty Graf, Jennifer Haas, Melanie Hannaford (Recorder), Alison Hitchens, Sharon Lamont, Kathy MacDonald (via phone), Alex McCulloch, Beth Namachchivaya (Chair), Adam Savage, Nick Richbell, Ian Robson

1. Business Arising
Following a review in December 2016, the President has announced a new unit, Legal and Immigration Services which will report to the Provost.

Beth is hoping to start recruitment for the two Associate University Librarian positions by late 2017, and is thinking about better alignment in the portfolios. There will be an opportunity for staff to provide input by participating in small group sessions, or by web comment form. Beth will be communicating this to Library staff shortly.

2. Recommendation and Commendation
October Anniversaries were acknowledged:
October 9 – Shannon Gordon, Library Office, 5 years

3. MAP3 Retreat preparation
The Library Executive Committee and Kathy MacDonald discussed some of the initial plans for the upcoming MAP3 retreat with Managers. In preparation for the retreat, Managers discussed items that the Library is committed to (either mandated by the campus/government, or strategic choices that have been made) and will work on a timeline for these items. Managers were asked to provide input to Alison and Beth who will be working on a context piece for the retreat. Kathy will be inviting proposal writers to participate in a lightning talk segment of the agenda. Sharon will be sending out a call for expressions of interest to Library staff to participate in the two-day retreat, in addition to the attendees already identified by virtue of their role.

Action: Kathy to email analysis and prioritization criteria to Managers, for discussion at the next Managers meeting.

Action: Managers are asked to email LibExec with projects that are going on in your department (or affect your department) to determine if they will be included in the context piece.

4. OCUL CF Advisory Network
To ease consultation outreach for the OCUL CF working groups, OCUL Directors are being asked to identify individuals at their institutions to be part of the OCUL CF Advisory Network. Alison distributed the list of areas of expertise, and asked Managers to reflect and recommend individuals for submission.

5. Around the Table
Sharon:
Student Awards and Financial Aid recently notified the Library that two additional work placements have been allocated to us. As a result, all 11 positions that we requested can be filled.

Science Literacy week was a success. The Faculty of Science has indicated they would like to participate with us again next year.

Alex:
Reno update: the paperwork has almost been finalized for the furniture supplier.
