Outreach Group Minutes

Present : Nancy Collins (Chair),  Marian Davies,  Eva Dodsworth (recorder), Cheryl Kieswetter,  Esther Millar, Laurie Strome

  1. Minutes
    It was decided that effective immediately, Minutes will be recorded at all Outreach Group meetings.  Members will rotate duties.

  2. Membership
    The group discussed its Terms of Reference – specifically member composition. It was agreed that the current departmental representations on the committee need to be slightly modified as some positions have either changed or no longer exist.   Inviting students to join the group had also been discussed at length as the Group recognizes the value of student engagement.  Two students will be considered – current library co-op students, casual staff, volunteers, or perhaps marketing students. Nancy will look into these possibilities. Perhaps a focus group?

  3. March Break
    Volunteers are needed for the March Break Open House. This year, the event will be two days, March 13th and 14th from 9:30-3:30. Volunteers will be needed to staff the library booth. 

  4. IFLA Submission
    Nancy submitted the buttons campaign for the 2012 IFLA International Marketing AWARD. Many thanks to the group for putting this document together.

  5. Buttons Campaign
    Due to students’ continuous interest in library buttons, the Group had decided to make a special edition Valentine button.  Buttons will be distributed on Valentine’s Day until they run out.  The button design will also be used in the library website and Libguides.  A possible Valentine button is the heart shape in the Porter windows.

    Additional button ideas were discussed.  The group agreed to run a button design contest whereby a selection of designs created by students will be judged and the top ten would be selected to be printed and made part of the button collection.
  6. New campaign
    New ideas were brainstormed for future promotional campaigns.  The group thought of running a contest that would showcase a library resource (collection, service, staff, infrastructure, etc.) in picture format.  The picture could be made available on the library’s website and students would need to submit their responses to ‘what/who is this picture of’?  Prize would be the complete set of library buttons.   Some ideas discussed:
    • Where is this?
    • Who is this (casual staff member)
    • Quirky quotes from library staff
    • Image of a book spine
