Outreach Group Minutes

1)  Library Day

    • Date: Wednesday, October 31st
    • Food:
      • Apples
      • Cookies
      • Cider (order more this year)
      • Halloween candy (any Smarties left over?)
      • TO-DO:  Esther will find Cheryl’s emails with food information and previous orders.
      • TO-DO:  Nancy will ask Carolyn if she can assist with ordering food
    • Activities:
      • Geospatial Centre opening
        • Decorate the Geospatial Centre to look like a haunted house from the outside. Go with the “Haunted Geospatial Centre” theme. (Coffin from Drama?)
        • Draw (prize to be determined). Students would get ballots on the main floor and would be directed to drop their ballots off in the ballot box in the “Haunted Geospatial Centre.” Ballots could read “Drop your ballot off in the haunted Geospatial Centre… if you dare!”
        • Photo activity – Scary locations around the world (graveyard, cave, swamp, etc.); We could include messages on the photos
        • Other activities: ?
        • TO-DO:  Geospatial Centre staff will finalize activities and send activity descriptions to Nancy
        • TO-DO:  Esther will work with Geospatial Centre staff and Nancy to create signage to direct visitors to the Geospatial Centre on Library Day. “This way to the haunted Geospatial Centre!”
      • The Davis Centre Library will have refreshments inside the Library again this year. TO-DO:  Nancy will run this by Jennifer Haas and Jamie Reilly
        • DC will have its own prize draw.
        • Do we want to have any additional activities at DC during Library Day?
      • WLRC, Musagetes, and Pharmacy
      • TO-DO:  Contact staff at Architecture, Optometry and Pharmacy to see if they have any ideas to participate in Library Day.
      • TO-DO:  Esther / Rose will create a directory for Library Day 2012 (duplicate Library Day 2011 website)
      • TO-DO:  Nancy will write content for the Library Day 2012 website
      • TO-DO:  Esther will create a new banner or tweak an old banner for this year’s website and promotions look & feel
      • TO-DO:  Nancy will touch base with Mark and/or Lib Exec to see about having a student / casual workers appreciation luncheon separately from Library Day.

2)  Fall events

    • Orientation Week
      • Laurie hasn’t heard anything yet about a services fair during orientation week. TO-DO:  Laurie will follow up to see if this is happening.
      • TO-DO:  Esther will revise the posters for the display boards.
    • New Faculty Services Event
      • September 5 from 10:30-11:15 in RCH 308. Jennifer Haas and Annie Bélanger will staff the information booth.
      • Outreach staff will set-up and take-down the information booth.
      • TO-DO:  Esther will review the poster board – does it require anything else / new?
      • TO DO:  Nancy will ask Carolyn if she can collect Liaison Librarians’ cards.
    • Outreach decided to forgo setting up the display boards in the Dana Porter and Davis Centre Libraries this year.


3)  Buttons campaign

    • Outreach will launch and promote the student-designed buttons starting in the fall.
    • Promotions will include: social media (Twitter, Facebook), the Library’s website, Daily Bulletin, signage, and news @ your library, liaison librarians.
    • TO-DO:  Nancy will contact the Imprint editor to see if they are interested in writing an article on these student-created buttons in late September or early October.
    • TO-DO: Esther will create promotional signs using the look & feel of promotions created for the buttons contest.
