Outreach Group Minutes

Present : Nancy Collins (Chair),  Esther Millar, Laurie Strome, Marian Davies, Sara Perkins, Eva Dodsworth

  1. Committee membership
    • Western MLIS co-op students Patrick Miller and Sarah Brown will be joining Outreach when they start in September.
    • The group agreed that Outreach needs more DC and would benefit from additional student representation.
    • To-do:  Nancy will put a call out to DC staff for them to express interest in joining Outreach.
    • To-do: Nancy will send an email out to all Library staff to inform those who supervisor co-op students of the opportunity for their students to join Outreach.

  2. Upcoming events
    • New Faculty Services Event – Wednesday, September 5 from 10:30am to 11:15am in RCH 308
      • Jennifer and Annie will staff this event. We will need to set up.
      • Esther presented a mock-up of content for the display boards. The group made some minor suggestions. To-do: Esther will make changes and put the display boards together.
    • Super Services Event - Thursday, August 30 from 10:30am –12:00pm in Village 1
      • Laurie and Nancy will staff this event.
      • Esther has updated the content for the display boards and will put them together in advance of this event.
      • All the usual giveaways will be provided for the anticipated 140 students (Top 5 Tips, buttons, Smarties, pencils, bookmarks etc.).
      • Laurie will coordinate our contribution to the door prize table.
    • Clubs & Services Fair (mid-September)
      • To-do:  Laurie will send details about this event out to Outreach members.

       

  3. Buttons campaign
    • Outreach will launch and promote the student-designed buttons starting orientation week.
    • We will launch 2 buttons at a time, rotating them. To-do:  Nancy will update the buttons website with the roll-out information.
    • Esther presented the promotional poster.
    • Sarah Martin has been punching buttons so far. Laurie will touch base with Sarah/Alex to see about having casual staff continuing to punch buttons.

  4. Library Day – Wednesday, October 31
    • Current plans include:
      • Event will run from 10am-12pm
      • Geospatial Centre activities – Eva & her staff are coordinating the planning and will let the group know how we can help.
      • Buttons – this will be the only day to get them all at one time!
      • Food – Carolyn will coordinate ordering. Eva has volunteered to pick up the apples.
      • Prize draw – Ballot boxes will be available in the Geospatial Centre and at the Davis Centre Library. We will also offer an online ballot, so individuals from our satellite locations can enter. To-do:  Nancy will ask Rose if she can create a ballot/form on the Library Day website. To-do:  Nancy will contact Retail Services about providing a prize again.
      • We will encourage library staff to dress up on Library Day, since it will be Halloween.
