  1. Review of the January 16, 2012 minutes
    Approved with minor edits.

    Business arising from the minutes
    1. 3. Laurie has been granted approval to hire casual staff for the March Break Open House. This year, the event will be two days, March 13th and 14th from 9:30-3:30. Laurie is organizing the staffing needs.

  2. Agenda review / Additional agenda

  3. Membership
    1. New student members
      Nancy had previously provided the new members with an overview of the group’s mandate. She asked if any of the new members had any questions.
      No questions asked.

    2. Call for 1-2 Library staff members
      Coincidentally, shortly after the January meeting, Michele Laing contacted Nancy and requested that, if possible, Sara Perkins join the group. The group agreed to extend an invitation to Sara.

  4. Buttons
    1. Provide an overview of the buttons campaign for new members / Feedback
      Nancy provided an overview of the buttons campaign. There are currently 13 designs in total, each captures a visual physical identity of one of the six libraries: Davis, Map, Musagetes, Optometry, Pharmacy, Porter.
      The button campaign has been very successful. We planned for minimal promotion, relying on a natural flow of increased popularity amongst staff, students and faculty.
      Rachel likes the  button designs, and was aware of their availability during special occasions.

    2. Next steps / Planning
      The planning for the  Valentine buttons has been prepared. The library love video has been uploaded to the YouTube uWaterloo Library Playlist, and Esther has it scheduled to run on the digital display. Nancy created a library love Libguide and sent it to the Liaison Librarians, suggesting they promote the video and Libguide.. The banner image is ready to be mounted on the Library Homepage on February 14. The buttons will be available at all the various Library’s service desks.
      Immediately following the Valentine button, the regular library buttons will be available at the service desks.

      Planning for a new library button campaign, which promotes students creating library inspired buttons, was discussed and agreed upon. The details include:

      • Lib Exec approval – Nancy
      • Creation of web page announcing the contest – Nancy
        • Title
        • Incentive (Top 10 will be distributed Fall 2012)
          • Nancy will inquire with Lib Exec to see if we can provide an incentive for students
      • Timelines
        • Announcement scheduled for March 1
        • Contest to run from March 1 – 18
        • Winners decided by April 1
        • Winners notified on April 1 (or shortly thereafter)
        • Winners announced
      • Promotion
        • Nancy will manage communication strategy
        • Nancy will create webpage
        • Nancy and Esther will decide on template to link to
        • Investigate sending a mass email to students
        • Esther will create and print 100 posters (11x17)
        • Cheryl will distribute posters to:
          • Campus and branch Libraries
          • College Libraries
          • Student Success Office
          • Registrar’s Office
          • Other appropriate locations
        • Cheryl will also distribute bookmarks

    Laurie informed the group that an email to Library staff requesting volunteers for the March Break Open House is forthcoming.
